General Function: 

Provide support to the Humanities Department. Work with the Dean of Humanities and Social Science in the planning and coordination of events. 

Minimum Qualifications: 

High school diploma or equivalent with minimum three years clerical or secretarial experience in an educational or business setting. 

Preferred Qualifications: 

Associate degree or higher earned from an accredited institution and three years clerical or secretarial experience in an educational, accounting or business setting. 

 

Major Duties and Responsibilities: 

  • Provides general administrative support for the Dean of Humanities and social Sciences, Directors, full-time faculty, adjunct faculty, and other campus constituencies of the Humanities Department including maintaining office supplies, mail/courier coordination, ordering and inventory of needed equipment and supplies, travel planning and processing,  provides equipment/copier troubleshooting, facilitating any needed repairs from outside vendors,  creation and maintenance of academic, personnel, financial, and statistical records. 
  • Assist with purchasing for theatrical productions, gallery openings, concerts, humanities events including processing pcard orders, supply orders, Sciquest orders, and disbursements; Assist with inventory and purchasing of art supplies
  • Oversees multiple Humanities budgets to include allocations, travel, disbursements, purchasing, verification, account reconciliation, financial reports, and communication with faculty, staff, and administration.
  • Provides administrative support to Humanities Dean or Directors, and faculty for calendar assistance, scheduling, arranging logistics, and coordinating travel and humanities events; Coordinate with Facilities and Academic Deans to maintain an events calendar for Powers Auditorium and the art gallery; Coordinate elementary school reservations for Motlow Children’s productions
  • Facilitates and coordinates campus events and productions to include theatre productions, musical performances, and art events; Coordinate ticket sales for theatrical production, concerts, arts or other humanities events including printing and folding tickets; Support Humanities events by collaborating with the marketing department to promote events, staff events, coordinate catering, set up, clean up, and other necessary pre and post event tasks.
  • Assist the Dean of Humanities & Social Sciences with creation of contracts and honorariums for workers in the arts, such as models for Art classes, professional musicians for concerts, technicians for lighting and sound, and seamstresses; Assist the Dean of Humanities & Social Sciences with the preparation of loan agreements for art exhibitions
  • Assist the Dean of Humanities & Social Science to secure theatrical rights in coordination with the Motlow Foundation
  • Schedule fittings for students wearing costumes and performance attire
  • Assist and chaperone Humanities trips, including live productions at the Tennessee Performing Arts Center
  • Coordinate student workers in support of the Humanities Department
  • Other duties as assigned 

Knowledge, Skills and Abilities:

  • Knowledge of the role and function of community colleges in their service areas
  • Knowledge of applicable college policies, along with local, state, and federal laws, codes, and regulations
  • Ability to relate effectively to people of varied academic, cultural, and socioeconomic backgrounds using tact, diplomacy, and courtesy
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
  • Knowledge and broad understanding of standard accounting procedures including budgets, estimates, price quotes, purchasing, and account reconciliation.
  • Communicate effectively, both in writing and verbally, with employees, college administrators, community members, vendors and other stakeholders
  • Demonstrated commitment to academic and professional excellence, flexibility, and adaptability
  • Ability to work independently and manage time and resources efficiently and effectively.
  • Strong computer skills to include database management, word processing, spreadsheets, and email.
  • Ability to enhance the campus community and develop collegiate culture
  • Ability to develop and maintain positive relationships with faculty, staff, and community partners
  • Ability to develop and maintain positive and effective professional relationships with faculty, staff, students,  community partners and other stakeholders
