Hogan Lovells is seeking a Assistant to join our PA and Document Services Team. This role will be based in Denver, CO with shift hours generally from 9:00 a.m. – 5:30 p.m. MT. A minimum of four (4) days in the office and flexibility for occasional overtime is required.

The Assistant plays a critical role providing advanced-level legal assistant work for a variety of timekeepers, including but not limited to lawyers, specialists, consultants, paralegals, and other functional professionals.

Key responsibilities include:

  • Assisting lawyers and other timekeepers in all practice areas and departments with a variety of administrative support areas, acting as a point of contact, navigating the Firm, and answering questions. 
  • Calendaring, file and email management, research, scheduling, copying, scanning, mailings, billing, audits, and check requests.   
  • Reviewing, editing, closing timekeepers’ daily time entries, running time entry reports, and conducting time entry transfers through the Firm’s web-based program.
  • Preparing expense reports and arranging for payment of vendor invoices in a timely manner.
  • Coordinating meetings, both in-person and virtually, arranging rooms, video conferencing, technology needs, invitations, calendaring, catering, etc.
  • Completing engagement letters, conflict checks, and opening new matters when requested.
  • Conducting check-ins with lawyers and others to whom APADS provides support.

Qualifications & Skills

  • Advanced working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Best Authority, InTapp Time, Emburse, and DraftXpress
  • Proficient in NetDocument or similar document management system.
  • Knowledge and proficiency in second language highly desirable.
  • Excellent communication, organizational, and analytical skills.
  • Ability to juggle various assignments and produce accurate work product in a fast- paced, deadline-oriented environment.
  • Flexible attitude and the ability to deal well with changing assignments and priorities.
  • Actively seeks to maximize productivity and promote teamwork and assist the entire team.

Education & Experience

  • Experience in a law firm or other professional services environment preferred.
  • Microsoft Office Specialist (MOS) certification preferred.
  • Additional college or technical training preferred; Associate or Bachelor’s degree in a relevant field desirable.

The annualized salary range for this position is $65,000 to $82,000 depending on the candidate's overall experience and other job-related factors permitted by law.  Full time employees may be eligible for a discretionary bonus.  In addition, full time employees as well as some part time employees, will be eligible for the firm’s fringe benefits as they currently exists.
