Key Areas of Responsibility

Processing Operations Management

  • Oversee daily back-office operations related to settlement, funding, reconciliation, and exception processing across all card brands (Visa, Mastercard, Amex, Discover, PIN debit, etc.) and for the organization.
  • Collaborate with internal departments and external vendors to support processing operations, transaction managing, monitor data transfers, file deliver, and support in system testing.
  • Ensure accurate transaction processing and timely financial settlements/funding while maintaining compliance with card network rules and internal controls.
  • Monitor and manage daily processing files, exception queues, batch discrepancies, and downstream impacts to client reporting and funding
  • Develop and enforce strong controls and QC procedures to minimize financial risk and ensure operational accuracy

Department Leadership & Team

  • Build, lead, and develop a high-performing back-office operations team, ensuring coverage, cross-training, and subject matter expertise across all processing functions.
  • Create a structured onboarding and training program to ensure team members are equipped with the knowledge and tools to succeed.
  • Provide hands-on coaching, mentoring, and performance management to drive accountability, growth, and a culture of excellence.
  • Identify organizational gaps and scale the department to support volume growth, new business lines, and evolving enterprise needs.
  • Develop and execute long-term operational strategies in support of enterprise objectives.
  • Manage the operational structure and workflows to ensure high-performance processing operations.
  • Partner with department heads to ensure all operational components of the Processing Ops are appropriately shared / managed and understood.

Process Improvement & Operational Excellence

  • Analyze operational workflows and identify opportunities to streamline processes, reduce errors, and improve service levels.
  • Implement automation, reporting, and process documentation to support efficiency and transparency.
  • Collaborate with technology, client services, and compliance teams to ensure back-office operations align with product changes, regulatory updates, and platform enhancements.
  • Assist in developing contingency and risk mitigation plans to ensure processing continuity and resilience.

Cross-Functional Collaboration & Support

  • Act as the operational liaison between finance, client services, product, and technology teams, ensuring back-office functions are fully aligned with enterprise initiatives.
  • Provide guidance and support for new product rollouts, platform changes, or client onboarding activities from a back-office perspective.
  • Participate in operational planning sessions, audits, and compliance reviews to ensure department readiness and accountability.
  • Represent back-office operations in internal meetings and external discussions with vendors or partners as needed.

Reporting & Metrics

  • Define and track key operational KPIs such as funding accuracy, reconciliation timeliness, and exception resolution rates.
  • Deliver weekly, monthly, and ad hoc reporting to leadership on operational health, trends, and risks.
  • Maintain visibility into team productivity and transaction throughput to inform staffing and resource planning.

Requirements

Education & Experience

  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • 8+ years of experience in payment processing or financial operations, with at least 4 years in a leadership role.
  • Strong background in bankcard processing, including funding, settlement, chargebacks, and reconciliation.
  • Experience building or scaling back-office teams in a high-volume, regulated environment

Industry & Technical Expertise

  • Deep understanding of the end-to-end transaction lifecycle (authorization, clearing, funding, settlement). 
  • SME with daily file processing, exception handling, funding flows, and reporting practices.
  • Proficiency in Microsoft Office (especially Excel), and experience with reconciliation or operational workflow systems.
  • Knowledge of onboarding, risk, compliance, and financial controls in a payment processing environment.

Leadership & Communication

  • Demonstrated success in building and mentoring high-performing teams.
  • Strong organizational and time management skills with a sharp attention to detail.
  • Clear, concise communication and reporting abilities—both written and verbal.
  • Collaborative mindset with the ability to lead across departments and influence outcomes without direct authority

Salary Range:

$142,450.00 - $223,300.00
