Title: Legal Administrative Specialist

Essential Duties/Responsibilities:

Administrative Coordination:

  • Provide administrative support to the Legal Department by managing follow-up activities that contribute to legal team coordination and overall workflow efficiency ensuring seamless execution of daily workflows and departmental priorities.
  • Provide support in handling inbound and outbound communications, including email correspondence, credentialing updates, and contract-related notifications.
  • Assist with formatting, organizing and filing legal correspondence and documentation.
  • Support special projects, assessments, and departmental initiatives as assigned.

Credentialing & Contract Support:

  • Assist in preparing and reviewing credentialing packets to ensure accuracy, completeness, and compliance with regulatory standards.
  • Support timely outreach and follow-up with contracted providers to maintain credentialing workflows, address discrepancies, and accelerate approval processes.
  • Maintain meticulous records of credentialing and contracting activities, contributing to audit readiness and regulatory reporting requirements.

Document & Data Management:

  • Digitally organize, manage, and archive sensitive documentation, including provider files, executed contracts and amendments, using structured naming conventions and version control protocols.
  • Input and update provider and contract documents in internal databases with precision and timeliness.
  • Perform regular documentation audits to verify data accuracy and compliance with internal standards and external regulations.
  • Other duties as assigned.

Required Skills/Abilities:

  • Exceptional attention to detail with a demonstrated ability to manage complex documentation and multi-step administrative workflows.
  • Fast and accurate data entry skills, with proficiency in maintaining structured records across multiple systems.
  • Advanced organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a dynamic, compliance-driven environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams), with aptitude for learning new platforms and adapting to evolving technologies.
  • Professional discretion in handling confidential and sensitive pharmacy-related information.
  • Self-driven and capable of working independently, with strong written and verbal communication skills for drafting clear and professional correspondence.
  • Reliable, punctual, and committed to maintaining a high standard of administrative excellence.
  • Ability to work extended hours, weekends, and holidays in alignment with departmental and industry demands.

Education/Experience:

  • Minimum of associate degree in business administration, Legal Studies, Healthcare Management or related field preferred.
  • Previous advanced experience in providing administrative support in legal operations, including data organization, document management, and a working knowledge of relevant procedures and compliance standards
  • Experience with document management platforms such as Smartsheet, SharePoint, and DocuSign

Work Environment/Physical Requirements:

  • Typical office environment, with minimal exposure to excessive noise or adverse environmental issues.

  • Ability to sit for prolonged periods of time.
