Overview
St. Francis Xavier University is seeking an Administrative Assistant to the Office of the University Librarian to cover a 3 month term. The Administrative Assistant provides full administrative support to the Office of the University Librarian to ensure effective and efficient operations. Key support areas include financial/budget, administrative, facilities management, and library projects.
Key Responsibilities
- Provides comprehensive financial and budget support for the library, including budgeting, reporting, reconciliation, vendor management, and purchasing
- Provides administrative support to the University Librarian and library operations, including scheduling, meetings, communications, file and information management, reporting, recruitment, and general correspondence.
- Coordinates facilities, security, and project-related needs for the library, including keys, furniture, cleaning, access, and special projects.
- Maintains inventory of office supplies; researches, recommends, orders and processes paperwork regarding supplies for Procurement and Accounts Payable.
- Acts as a resources person and liaison between the Library and other internal and external departments and agencies. Responds to inquiries or refers inquiries to appropriate departments.
- Performs other administrative or coordinating duties as assigned.
Qualifications
- Bachelor’s Degree or Two-Year College Diploma plus relevant experience
- Previous experience providing administrative support is required
- Previous library experience will be considered an asset
- Computer skills including proficiency in Microsoft Office components are essential
- Must be personable, competent and interested in providing a high level of service to the university community
- Excellent communication and customer service skills
- Strong attention to detail
