We’re on the lookout for a dynamic and professional Receptionist & Office Administrator to join our high-performing team at Bayleys. As our “Director of First Impressions,” you’ll be the welcoming face and voice of our office, ensuring a seamless and polished experience for clients, visitors, and staff alike.

Key Responsibilities

Reception & General Administration

  • Be the first point of contact – greet visitors and answer calls with professionalism and warmth.
  • Maintain a tidy and welcoming reception, kitchen, and front-of-house area.
  • Assist with general administrative duties and ad hoc projects.
  • Support the coordination of team meetings, events, and auction days.

Office Management

  • Maintain a professional office environment aligned with Bayleys’ brand standards.
  • Order and manage office supplies and equipment.
  • Ensure health & safety compliance and a secure, clean workspace.
  • Support office layout and procedural consistency as directed by sales leaders.

Sales Support

  • Work closely with Residential, Lifestyle, Commercial, and Country sales teams.
  • Coordinate sales meetings and caravans.
  • Maintain database integrity in Property Suite.
  • Prepare listing documentation, marketing materials, and Sale & Purchase Agreements.
  • Upload and audit property listings across digital platforms.
  • Support auction day logistics and documentation.

Marketing Support

  • Ensure all marketing aligns with Bayleys’ brand guidelines.
  • Coordinate agent, company, and property marketing campaigns.
  • Manage digital and social media channels.
  • Liaise with advertising teams and ensure deadlines are met.
  • Maintain online listings and marketing materials.

Skills & Experience:

  • Previous experience in a reception or office administration role.
  • Strong organisational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • A proactive, can-do attitude and the ability to multitask.
  • Confidence using Microsoft Office and CRM systems (Property Suite experience a plus).
  • A passion for delivering exceptional service and supporting a busy team.
