Job Description

You’ll work directly with leadership to streamline operations across multiple exciting projects, from reviewing architectural plans for major developments to supporting community initiatives. Responsibilities
- Organize and manage architectural plans and creative project files with meticulous attention to detail
- Provide proactive diary management and strategic meeting reminders to keep leadership on track
- Coordinate with suppliers, architects, and creative professionals across multiple projects
- Transform meeting recordings into clear, actionable summaries using modern tools
- Manage community communications and networking group activities (65+ professional women)
- Support website maintenance and coordinate with technical teams for seamless operations
- Research emerging artists, grant opportunities, and industry trends to support business development
- Create compelling proposals, pitch decks, and professional documents using design software
- Develop case studies showcasing successful creative projects and installations
- Support international business expansion research and planning
- Maintain comprehensive policy documentation and operational procedures
- Provide email management and administrative support to multiple team members
- Coordinate travel arrangements for site visits and international business development
Requirements
- Proven experience in fast-paced, entrepreneurial environments supporting senior executives
- Strong proficiency in Google Workspace (primary business platform)
- Experience with Asana for project management and workflow coordination
- InDesign skills required for professional document creation
- Canva expertise essential (company’s primary design platform)
- Marketing, communications, or design background strongly preferred
- WordPress experience valuable for website support and maintenance
- Community management experience highly desirable
- Demonstrated ability to work independently and make strategic suggestions
- Excellent organizational skills with ability to manage multiple complex projects
- Strong communication skills for liaising with creative professionals and corporate clients
- Proactive mindset with ability to anticipate needs and solve problems
- Experience supporting business expansion or international operations a plus
- Cultural awareness and appreciation for creative industries preferred
