HilltopSecurities is looking to hire a Public Finance Support Associate. This role will be responsible for the myriad of complex operational duties associated with the sale and delivery of municipal bond and note securities structured by the Investment Bankers/analysts for Public Finance clients and the general day to day team operations.
- Answer, screen or forward calls, providing information, taking messages, or scheduling appointments
- Assist in scheduling and coordination of meetings and conference calls
- Coordinate and manage travel reservations and arrangements for team using Concur
- Create and manage expense reporting for team using Concur
- Process invoices and check requests for payment using Concur
- Open, review, and distribute all incoming mail for the team
- Maintain office supplies for team
- Print / Copy and assemble meeting documents
- Input client data and maintain accuracy in the company’s proprietary software (Denali)
- Input transaction data into proprietary software (Denali), and move the transaction through the firm’s workflow process, acting as the team’s key contact person for other departments.
- Assist with other clerical functions and special projects as needed
- File / Scan / Archive documents physically and electronically
- Upload documents into the sales transaction records repository using the firm’s processes and proprietary software (Denali)
- Aid in the development and maintenance of client contracts; requires acute attention to detail and comfort with legal documents
- Coordinate and review regulatory and internal filings with respect to completed transactions
- Create / update presentations in PowerPoint
- Assist the Investment Bankers with the development and dissemination of various transaction documents:
- Internal transaction forms
- Interested parties lists and schedules of events
- Bond offering documents as well as its publication and filing (requires advanced Word and Excel skills)
- Assist with publication of public notices as required
- Assist with requests for information from external parties such as clients, attorneys, rating agencies, bond insurers and other interested parties.
- Prepare closing statements for all transactions
- Maintain team’s database for transactions undertaken and completed
- Conduct various research projects as directed by the Investment Bankers
- High school graduate or equivalent. Associate’s Degree and Paralegal experience preferred.
- Five (5) plus years previous administrative assistant, executive assistant, or paralegal experience
- Must have advanced knowledge in Microsoft office suite of products (Word, Excel, Outlook, PowerPoint)
- Quick learner with ability to work well in fast-paced environment without sacrificing accuracy and speed is a must.
- Strong communication skills, both verbal and written.
- Professional, pleasant demeanor for working with clients, business associates and internal employees
- Team player who can interface with a team of strong and independent personalities.
- Strong organizational skills and attention to details with the ability to work well independently and prioritize tasks
- Must be comfortable with simple mathematical calculations.
