Summary:   The Human Resources and Benefits Coordinator position supports the Human Resources team in delivering exceptional service to employees and management across Gaylord Hospital, Inc.  This position coordinates the monthly new hire orientation process, manages employee files, assists with bebefits administration, and provides general HR support.

The Human Resources and Benefits Coordinator will have strong organizational skills, excellent communication abilities, and high confidentiality and professionalism. This position's focus is to assist the Human Resources department in performing various support duties, including record maintenance, employment screening, benefits administration, new employee processing, events, and other department activities. The candidate will also assist the VP HR with communication and correspondence activities.

Essential Duties And Responsibilities:

1. New Hire Orientation:

Coordinate and prepare all related materials for new hire orientations, ensuring all onboarding materials are completed and collected.

Prepare orientation schedules, welcome packets, and other necessary documentation.

In conjunction with the HR Business Partners, assist new hires with completing required paperwork, including I-9 forms, tax documents, and benefits enrollment.

Act as a point of contact for new hires to ensure a smooth transition into the company.

2. Benefits Administration:

Ensures the hospital’s benefit plans coordinating necessary activity with insurance carriers, brokers, regulatory agencies and system providers for medical, dental, HSA/HRA, FSA, life, LTD, and voluntary benefits.

Ensures all staff are properly enrolled in plans according to policy and government regulation.       

Assists in hospital wellness initiatives.

3. Hr Team Support:

Provide administrative support to the HR team, including scheduling meetings, and responding to employee inquiries.

Assist with employee file management, including set up and maintaining both electronic and physical records.

As required, work closely with the HR Business Partners to support the recruitment process by posting job openings, scheduling interviews, and coordinating with candidates.        

Assist with various HR projects, including employee engagement initiatives, benefits administration, compensation administration and policy updates.

Administer condolences/flowers on behalf of Gaylord.

Administer department supplies, including ordering, storing, and staging.  Maintain in-house storage and archive areas.

Prepare various communication packets and documents such as new hire orientation, job fair, training, and HR events.  Keep literature rack, HR intranet, employee cafeteria supplied and up to date with current information and forms.

4. Compliance And Reporting:

Maintain up-to-date knowledge of employment laws and regulations, ensuring compliance in all HR activities.

Knowledge of HRIS/UKG to assist with HR reporting and metrics, including tracking employee turnover, retention, and engagement.

Prepare and submit required HR documentation and reports as needed·       

Perform data entry, audit, and electronic system maintenance for assigned areas of responsibility and for designated projects

Qualifications:

Associate's degree (A. A.) or equivalent and two – four years related experience with office support and administration experience. Hospital or Human Resources experience preferred.

Ability to speak effectively before groups of employees.                                            

Ability to use computer and working knowledge of HRIS systems, Microsoft Office software, and Crystal Report Writer. Mid level spreadsheet proficiency.            

Knowledge of document and file organization and customer service. 

Hours:

Full Time/Monday-Friday/40 Hours
