Provides secretarial and support duties to Radiology staff and department to ensure optimal workflow and regulator compliancy.
Is primarily responsible for answering/returning all calls on a multi-line phone, scheduling patient appointments, coordinating preliminary paperwork/orders/images and assisting in other department activities as requested.
The secretary will require excellent communication skills involving third party payors, reception, medical records, and clinical staff.
Must have the ability to perform and coordinate various tasks in an efficient and timely manner, while keeping patients/staff/physicians aware of any changes.
The secretary will also become proficient in EPIC, PACS, MS Outlook Email, and have the ability to quickly learn PowerShare, ImageShare, SORNA, Life Image.
Job Duties:
- Coordinates Unit Communications Systems.
- Answers phones and relays messages.
- Obtains patient appointments.
- Greets patients, directs them to desired area. Explains procedures as appropriate.
- Answers patient requests; relays concerns to appropriate X-ray personnel.
- Proficient working in Epic and PACS.
- Coordinates preliminary paperwork for patient consent forms.
- Keeps patients informed of delays.
- Is polite and pleasant in communication.
- Maintains patient radiographs and reports
- Assembles records for inpatients and outpatients.
- Obtains previous studies for comparison. This includes outside films or CDs. Loads outside images onto PACS prior to patient arrival.
- Maintains records in good order. Thins records as necessary and documents when thinned.
- Distributes reports.
- Handles incoming and outgoing calls.
- Answers letters from lawyers, patients and other institutions.
- Sends copies of reports to other hospitals, nursing homes, and outside doctors.
- Transcribes Physician Orders.
- Transfers information contained in physician’s order to appropriate records.
- Completes necessary x-ray requisitions. Responsible for adequate patient history.
- Double checks own work for accuracy.
- Notifies appropriate staff promptly of any order which is stat or any order which is not clear.
- Locates and copies reports for doctors or doctor’s offices.
- Orders and maintains supply system.
- Orders supplies weekly form materials service.
- Maintains stationary supply and documents cupboards in orderly efficient manner.
- Attempts to resolve supply problems. Involves department head as appropriate.
Requirements:
- Clerical experience preferred; typing skill of 40-50 wpm required.
- Must have legible penmanship.
- Knowledge of medical terminology preferred.
- Must be able to spell accurately.
- Previous patient care experience preferred.
- Must be able to be trained using the computer.
- Must be able to read, write and speak the English language.
