ABOUT THE JOB
We are looking for a highly skilled and motivated HR Officer to join our team. This role is ideal for a mid-to-senior professional with proven experience in payroll management, HR operations, and policy implementation. You will be responsible for managing the end-to-end employee lifecycle, ensuring compliance with labor laws, and supporting the company’s people and culture initiatives.
JOB DESCRIPTION
On/Off-boarding Process Control
- Lead and manage a growing team responsible for managing the employee experience throughout the employee lifecycle (onboarding, career changes and offboarding); and
- Review employee profiles, perform profile filling, and collect any missing documents to ensure compliance with the company’s due diligence requirements.
“Administer the registration or termination of benefits in kind (such as private insurance) for new hires and leavers.
HR Payroll & Information System
- Provide high quality support and ensure smooth and effective management of the payroll function for local and expatriate staff members.
- Monthly payroll related collection changes (joiner, leaver, promotion, adjustments, etc.)
- Monthly attendance record consolidation which will impact actual payout (including actual working days of part time employee, no pay leaves, etc.)
- Consolidate all changes to payroll vendor for payroll preparation.
- Provide incoming/benefit of each staff to payroll vendor which is not proceed through payroll, e.g. allowance in kind.
- Review payroll and Personal Income Tax report provided by vendor and notice vendor to make adjustment/correction if necessary.
- Prepare salary payment for the Bank and cost allocation to Finance Team.
- Monthly PIT declaration and filling support for Local and Expatriate Secondees.
- Annual PIT finalization filing support (employee liability for local staff and employer liability for Expatriate Secondees) and relevant reports when necessary.
- Distribute Annual incoming summary form to each staff for their annual tax filing use.
- Manage Social, Health & Unemployment Insurance (SHUI) reporting, claims (sick/maternity), and reconciliations.
- Perform the necessary reconciliation and revision arising from the changes in salary for employees, new hires.
- Attend on the process of Social Insurance claim in case of sick leave or maternity leave.
HR Information System
- Maintain employee data accuracy in the HRIS (e.g., HiBob), ensuring all records are complete, up to date, and compliant with internal policies and legal requirements.
- Manage organizational structure in the system, including reporting lines, approval matrices, and cost center updates.
- Support HR processes automation (onboarding, offboarding, performance reviews, leave, and overtime requests) to ensure smooth employee lifecycle management.
Policy/Procedure & Governance Benefit Implementation
- Understanding and implementing all policies in the Employee Handbook/Internal Regulations/Code of Conduct.
- Developing and implementing new practices, programs and policies to meet organizational and strategic business/management needs.
- Update HR Team to new regulations, articles and decrees relating to HR matters/Labor Code.
- Assisting Legal/HR Head to review and officially launched Internal Regulation, Disciplinary, Employee Handbook, etc.
- Maintain and develop consistent HR process documentation and ensure appropriate utilization.
- Oversight for maintaining documentation and producing artifacts for HR audits.
- Ensuring procedures are followed in a timely and efficient manner. This will involve liaising with the relevant HRBP team and hiring managers to ensure the smooth running of recruitment campaigns, issuing offers of employment and processing contracts and ensuring that eligibility to work information is checked.
- Responsible for employee’s due diligence check to ensure it complies with Group’s policy.
- Provide counseling on internal policies & procedures.
Reporting & General Responsibilities
- Coordinate the annual health check-up program, including preparing requirements, obtaining quotations from providers, and supporting implementation.
- Prepare monthly, bi-annually, annual reports for Government.
- Prepare and generate reports for HR monthly (eg. CEO report, Payroll report, Diversity reports).
- Prepare internal report for management purpose (cost center, payroll report, budget planning, employee cost accrual, others as per requirements from Head or Financial Controller).
- Partner closely with Engagement team to ensure their client groups are receiving the support they need and process changes are effectively communicated.
- Work with relevant partners in managing staff’s benefits (laptop award, engagement program, etc.).
- Handle expatriates’ visa/work permit to re-locate to Vietnam.
- Cross-team responsibilities may arise from time to time.
- Assist Head on other tasks as required.
Requirements
- From 2 years of hands-on experience in HR operations, with solid exposure to payroll and compliance.
- Detailed knowledge of Vietnam Labor Code and relevant regulations.
- Good numerical and analytical skills with strong attention to detail.
- Adaptable, proactive, and willing to learn new systems/modern collaboration tools (Confluence, Slack,…).
- Strong organizational skills and ability to manage multiple strict deadlines.
- Experience using HRIS (e.g., HiBob or similar) and payroll vendors.
- Experience in multinational or fast-growing companies.
- Good communication and interpersonal skills, with the ability to work cross-functionally.
- Demonstrated integrity and sound judgment, with proven ability to manage sensitive and confidential information diícreetly.
- Reliable sense of accountability and ownership in completing assigned tasks.
