ABOUT THE ROLE

As our Community Ops VA, you’ll play a vital cross-functional role supporting both logistical execution and community operations at MDS. From coordinating the delivery of physical items for events and members to managing key backend processes that keep our online spaces organized, your work ensures smooth, high-quality experiences for both our internal team and external community. You’ll liaise with vendors and our warehouse, maintain item and shipment tracking systems, and support daily operational tasks across departments. This role sits within the Operations department and serves as a direct link between our strategic planning and boots-on-the-ground execution.

Requirements

KEY RESPONSIBILITIES

  • Coordinate the ordering, shipping, and delivery of all physical items across MDS—including welcome boxes, birthday gifts, member merch, and event materials—ensuring timely arrival and consistent quality.
  • Manage event-related logistics with the Events team, including shipping timelines, packaging needs, vendor coordination, and post-event returns.
  • Serve as the primary liaison with the warehouse, maintaining SKU records, labeling systems, and standardized processes for inventory movement and restocking.
  • Research and propose cost-effective logistics and fulfillment solutions to improve how we deliver physical experiences.
  • Onboard new members, update onboarding checklists, and support their experience with admin setup and welcome box shipments.
  • Manage and review requests for Channels and Facebook Groups (accept/deny, send confirmation emails, post graphics).
  • Send new member emails and update the databases in Airtable ahead of team meetings.
  • Update and manage SMS announcements in High Level for calls, and send reminder emails.
  • Send Google Calendar invites for community calls.
  • Take attendance during virtual calls, track participation, and complete follow-up tasks.
  • Maintain and update community resources, including Documents & Directories that support business and personal growth.
  • Help administer and track members' awards, requesting graphics and posting them on Facebook.
  • Request and post graphics and updates for new members on Facebook.
  • Track and report on member engagement data to inform programming and establish it as a recurring metric.
  • Attend internal meetings to ensure alignment with the wider team.

QUALIFICATIONS

  • 2+ years of experience in logistics coordination, operations support, or virtual assistant roles
  • Strong organizational and time management skills with excellent attention to detail
  • Comfortable working across multiple teams and managing competing priorities
  • Experience using tools such as Airtable, ClickUp, Slack, Google Workspace, and Facebook Groups
  • Ability to communicate clearly and professionally with vendors, teammates, and community members
  • Proactive, resourceful, and able to identify and solve problems independently
  • Comfortable working in a remote, fast-paced environment where flexibility and follow-through are key
