Key Responsibilities

  • Organize, prepare meetings and follow up with external clients and partners, representing our company professionally
  • Efficiently manage complex travel logistics, including visa preparation, flights, and accommodation for multiple team members
  • Proactively liaise with internal stakeholders and external organizations to facilitate smooth operations
  • Provide agile administrative support for multiple team members simultaneously, anticipating needs before they arise
  • Coordinate complex diaries and agendas across the firm, ensuring optimal time management
  • Process and track monthly expense reports for senior team members with precision
  • Drive ad-hoc projects to successful completion, adapting quickly to changing priorities
  • Handle general administrative duties with efficiency

 

What we expect

 

  • 4+ years of administrative support experience in a fast-paced professional environment, within a medium to large corporate entity or financial institution
  • Confidence in communicating effectively across teams and organizational levels with poise and clarity
  • Excellent interpersonal skills with demonstrated ability to manage business and client expectations in high-stakes situations
  • Hands-on approach with ability to work creatively and independently in our challenging, fast-paced environment
  • Strong focus on delivery with exceptional attention to detail, even under pressure
  • Ability to quickly assess problems and provide effective, pragmatic, and innovative solutions with confidence - we value people who make things happen
  • Excellent business English with strong verbal and written communication skills
  • Proficient business German preferred but not required
