We’re looking for a full time Engineering Coordinator to join our Engineering Department! In this role, you will focus on supporting the department through effective organisation, coordination, and communication. With prior administration experience and some knowledge of engineering or technical services, you will bring strong attention to detail, excellent organisational skills, and the ability to manage multiple priorities. You’ll assist with rosters, payroll, purchase orders, and records, while also helping the team source supplies and maintain smooth daily operations. Your proactive approach and team-focused attitude will ensure the department runs efficiently and continues to support the hotel in delivering outstanding guest experiences.

About the Role 

• Handling a range of clerical and administrative tasks, including preparing month-end reports, corresponding with vendors, managing petty cash, and maintaining departmental filing such as service and preventative maintenance reports.
• Processing purchase orders and ensuring all documentation is accurate, complete, and up to date.
• Creating and updating staff rosters to ensure all shifts are covered and records are kept accurate.
• Maintaining records to ensure all maintenance, compliance, and health & safety requirements are current and in line with regulations.
• Supporting the day-to-day operations of the Engineering team, including assisting with contractor coordination, scheduling, and ensuring health & safety procedures and audits are properly followed.
• Managing inventory and supplies by ensuring sufficient stock of engineering parts and materials, sourcing items when required, and tracking expenses against the department budget.
• Purchasing and collecting materials or parts as needed to ensure the smooth running of the department.
• Working closely with the Chief Engineer and the wider team to ensure all tasks are completed to a high standard, while contributing to a culture of efficiency, teamwork, and excellent service.

What We’re Looking For

• Prior administration experience, ideally in a fast-paced environment.
• Some knowledge or background in engineering or technical services.
• Prior hotel or engineering management experience would be beneficial.
• Strong organisational skills, attention to detail, and confidence with systems and reporting.
• Excellent communication skills and a proactive, team-focused attitude.
• A full and clean New Zealand driver licence (essential).
