Position Overview

We are seeking a detail-oriented and highly organized Assistant to join the COO Team within Research. This role will provide critical support to research analyst teams and the broader COO function by managing process-driven tasks, coordinating logistics, and ensuring operational efficiency. The position requires strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Leadership & Oversight: Mentor and lead the assistant pool responsible for process-driven tasks within the COO team, ensuring accuracy and timeliness.

  • Analyst Support: Assist research analyst teams with day-to-day operational and administrative processes.

  • Calendar & Meeting Management: Coordinate meetings, manage schedules, and arrange logistics across multiple stakeholders.

  • Travel Management: Handle complex travel arrangements, including international itineraries and last-minute changes.

  • Compliance & Reporting: Support compliance-related processes such as Expert Vettings, PATS, and disclosures.

  • Expense Management: Process and track expenses in line with company policies.

  • CRM Management: Maintain and update CRM systems to ensure accurate client and contact information.

Skills & Qualifications

  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).

  • Communication Skills: Strong written and verbal communication with the ability to liaise across teams and regions.

  • Organizational Ability: Highly organized, methodical, and able to manage competing demands effectively.

  • Attention to Detail: Accuracy and thoroughness in administrative processes and reporting.

  • Teamwork: Strong team player with a collaborative mindset and a proactive approach to problem solving.
