Role: Admin Assistant

Schedule: Full-time Monday to Friday 10 AM to 7 PM AEST

Overview

We are seeking a detail-oriented and highly organized Administrative Assistant to provide reliable administrative support. The ideal candidate will have strong technical skills in productivity software, be comfortable working with AI-powered tools, and demonstrate excellent attention to detail in handling day-to-day operations.


Key Responsibilities

  • Perform data entry, record-keeping, and documentation tasks with high accuracy.

  • Prepare, edit, and format reports, spreadsheets, and documents in Microsoft Word and Excel.

  • Manage digital files and maintain organized cloud-based storage systems.

  • Collaborate with team members using cloud productivity and project management platforms.

  • Support workflow automation and process improvements using AI productivity tools.

  • Research, organize, and summarize information for business projects.

  • Track deadlines, appointments, and deliverables to ensure timely task completion.

  • Handle administrative support tasks as required by the team or management.

Qualifications

  • Proven experience as an Administrative Assistant, Virtual Assistant, or similar non-voice support role.

  • Advanced proficiency in Microsoft Excel and Word (formulas, pivot tables, formatting).

  • Experience with cloud-based collaboration tools such as Google Workspace, Microsoft 365, or Notion.

  • Comfortable working with AI productivity platforms (ChatGPT, Copilot, Notion AI, or similar).

  • Strong organizational and time management skills with the ability to prioritize tasks effectively.

  • Excellent written communication skills with a high level of accuracy and attention to detail.

  • Ability to work independently and maintain confidentiality of information.

Preferred Skills (Nice to Have)

  • Familiarity with project management platforms (Asana, Trello, Monday.com, or similar).

  • Experience creating process documentation and workflow guidelines.

  • Background in supporting multiple managers or departments.
