Essential Tasks And Responsibilities:
In a manner consistent with supporting Unified Community Connections’ Mission Statement, the Operations Administrator will:
- Track and monitor the completion of projects assigned to Operations Management by the COO, ensuring timelines and deliverables are met.
- Process and complete requests for payment as directed by the COO.
- Monitor Workforce Management schedules and alert COO to any changes or discrepancies.
- Follow up on completed Quality Assurance (QA) communications, including weekly follow-up emails, site audits, Plans of Correction, DDA investigations, and OHCQ surveys.
- Conduct unscheduled site visits to Day Programs and Community Living Group Homes to:
- Verify staffing ratios.
- Observe staff interactions and individual engagement.
- Assess the implementation of treatment plans, goals, and assigned tasks.
- Support implementation and tracking of special projects such as call-out monitoring, staff lateness, and disciplinary actions.
- Coordinate logistics for trainings and meetings, including securing space, vendors, and necessary materials.
- Track and document union grievances and other time-sensitive matters; review and proofread written documentation such as memos or disciplinary actions to ensure compliance with labor guidelines and internal policies.
- Attend house and administrative meetings as assigned by the COO.
- Ensure supervisory meetings are occurring as scheduled and review content to maintain quality standards.
- Review and maintain tracking tools to verify that critical, time-sensitive activities are current and accurate.
- Develop and maintain systems for tracking, organizing, and presenting information using Microsoft Word, Excel, PowerPoint, and electronic records systems.
- Monitor pharmacy request for cash authorization of medications
- Perform other duties as assigned by the COO.
Supervisory Responsibilities:
None.
Qualifications:
- 2 years experience in the developmental disabilities system in Maryland.
- Strong organizational and time management skills with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and electronic record systems.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Understanding of union processes and regulatory compliance (preferred).
Education And/Or Experience:
- Associate’s or Bachelor’s degree in Business Administration, Human Services, or related field (or equivalent experience).
- 2+ years of experience in operations support, project coordination, or administrative roles, preferably in healthcare, human services, or nonprofit environments.
Language Skills:
Ability to communicate with others including individuals in UNIFIED programs, family members, co-workers and vendors.
Mathematical Skills:
Ability to add, subtract, multiply and divide in all units of measure: whole numbers, fractions, and decimals.
Computer Skills:
Advanced computer skills. Demonstrated proficiency Word, Excel, PowerPoint, and electronic records systems.
Certificates, Licenses, Registrations, Training:
Successful completion of various training courses offered by Unified, as scheduled, but no later than no later than first ninety (90) days of employment. Must complete, pass and maintain all DDA required training. Must complete, pass, and maintain all Unified Community Connections upon hire and on a recurring basis as requested or required.
Physical Demands:
While performing the tasks of this position, the employee is required to stand, walk, sit, bend, kneel, climb, crawl, and use hands to finger, handle or feel, reach with arms and hands, balance, lift, stretch. The employee is regularly required to lift /move over 75 lbs. Vision abilities required for this position include, near distance, far distance, peripheral vision, color vision, depth perception and ability to adjust focus.

- Employee will frequently be in areas occupied by individuals in UNIFIED’s Residential and Day Programs and he/she must be professional and respect individual’s fundamental rights.

- Must have the ability to travel across the state of Maryland.
