Job Title: Executive Assistant/Senior Administrator

Location: Burnaby – Hybrid

We’re looking for a savvy, solutions-oriented Executive Assistant / Senior Administrator to support the VP of Sales, Western Canada. This is more than just a support role—it’s about being the go-to person who brings order to complexity, thrives under pressure, and takes pride in creating solutions that keep the business moving.

You’ll need to be highly organized, resourceful, and comfortable managing a demanding calendar, creating high-impact PowerPoint presentations, and supporting a fast-paced sales organization. This role is output-driven—there may be times you’ll work beyond typical hours to deliver results, but you’ll have the autonomy to own your day and your outcomes.

Key Responsibilities:

  • Provide high-level administrative and confidential support to the VP of Sales.
  • Proactively manage a dynamic calendar, resolve conflicts, and coordinate meetings.
  • Own the organization and maintenance of documentation and initiate follow-ups.
  • Keep shared office spaces organized, presentable, and up to date.
  • Conduct independent research to support decision-making.
  • Plan and execute internal and off-site meetings and events.
  • Analyze and compile information into clear, impactful presentations.
  • Communicate updates, processes, and changes effectively across teams.
  • Maintain inventory of branded merchandise and office supplies.
  • Support the broader management team and help ensure smooth daily operations.

What You Bring:

  • 4+ years of experience supporting senior or C-level executives in a fast-paced environment.
  • 6+ years in administrative roles with strong exposure to executive leadership.
  • A high level of discretion, professionalism, and attention to detail.
  • Strong communication skills—both written and verbal.
  • Expert proficiency in Microsoft Office, especially PowerPoint, Excel, and Word.
  • Ability to multitask and prioritize effectively under tight deadlines.
  • Experience using productivity tools like Webex and working independently.
  • A knack for process improvement and problem-solving with a proactive mindset.

Education:

  • High school diploma required; college coursework or specialized admin training preferred.
