Office and Admin Assistant
 

We are looking for the perfect candidate who wishes to take on a new and challenging role as the office and general administrative assistant in the Copenhagen Nu Skin office. 


In this role, you will have a diverse spectrum of responsibilities. You will be at the heart of the Nu Skin office in Copenhagen and be responsible for ensuring a smooth run of the office, providing general administrative support and acting as the technical point of contact for the office. Your workday will reflect the company’s flexibility and you will have the opportunity to be involved in many different projects.

Your role
1.    Office administration
•    Overseeing clerical tasks, such as mail, maintaining files, welcoming visitors etc
•    Represent Nu Skin for matters pertaining to the office
•    Keeping an inventory of office supplies/items and ordering new materials as needed
2.    Administrative tasks
•    Prepare and coordinate logistics for meetings including schedules, office space, handouts, equipment, refreshments, etc.

  • Contract management for office suppliers and services•    Organize company events such as Christmas, team building etc from A to Z•    Assist with organizing employee recognition •    Taking incoming phone calls and handling messages3.  Point of contact for IT support•    Providing updates on what is needed from IT (Hardware/software)•    Managing the IT inventory and sending & receiving IT equipment•    Being our on-hands on site Tech support with their full support navigating what needs to be done
  • Being the spoke person between IT and DK vendors if needed

4.    Event And Trip Support:

  • Handle and complete a number of event admin tasks (ie, post event follow ups such as payments, reports, thank you notes etc)
  • Assisting in optimizing channels dedicated to events (ie. Teams with structure, tagging & fine organizing)
  • Create and maintain events checklist and project files and help track progress against deadlines
  • Support the Events team with logistics, vendor and payment coordination, communication and alike
  • Maintain and regularly update European and Global event calendars and other administrative flows5.    Project involvement, for example:•    Coordinate external events at the office
  • Ad hoc projects upon agreement

Your skills
•    Excellent written and verbal knowledge of English and one Nordic language (Danish, Swedish or Norwegian)
•    Basic computer knowledge & troubleshooting) - interest in basic IT support &  willing to learn
•    Excellent organizational skills with attention to detail
•    Excellent communication skills, both written and verbal
•    Good knowledge of basic office applications, e.g., PowerPoint, Excel, Word, Outlook (applications such as Coupa, Concur seen as advantage)
•    Ability to prioritize multiple projects and ensure completion
•    Pro-active, independent, hardworking and flexible 
•    Responsible and trustworthy, including with confidential data/information
