Job Summary:
The Senior Scheduling Concierge ensures the seamless coordination of patient scheduling, insurance verification, and pre-authorization across Medical Imaging of Fredericksburg (MIF) facilities. In addition to performing advanced concierge duties, the Senior Concierge serves as a mentor, process owner, and strategic collaborator, driving operational efficiency, enhancing the patient experience, and supporting revenue cycle integrity.

Essential Functions And Responsibilities:

  • Assists with onboarding, training, and ongoing mentorship for Scheduling Concierge staff; contributes to retention and team development initiatives.
  • Oversees scheduling workflows, insurance verification, and pre-authorization processes, with a focus on complex procedures (e.g., PET, CCTA).
  • Monitors system-wide queues, cancellations, denials, and financial clearance tasks to ensure accurate and timely service delivery.
  • Collaborates cross-functionally with billing, clinical, and administrative teams to resolve scheduling discrepancies, claim denials, and insurance-related issues.
  • Analyzes data trends (e.g., ordering patterns, payer responses) to support process improvements and pilots new programs or scheduling models.
  • Acts as a liaison between patients, physicians, and insurance providers, ensuring clarity, compliance, and resolution of escalated concerns.
  • Maintains documentation standards and compliance with regulatory and billing requirements (e.g., CPT/ICD-10 coding accuracy, pre-authorization tracking).
  • Contributes to performance monitoring and reporting across key operational metrics, including patient access, service recovery, and insurance turnaround times.
  • Performs Scheduling Concierge coverage and duty assignment as requested by leadership.
  • Performs other duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Basic computer skills. Strong verbal and written communications skills required.
  • Experience in third party insurance and insurance terminology, CPT, and ICD-9 codes required.
  • Minimum of three years related experience in a call center, patient registration, patient accounts, or patient billing preferred. 
  • EPIC EMR experience preferred.
