Job Summary: 

The Staffing Coordinator is responsible for maintaining the nursing contract labor files for assigned facility. This position is accountable for all activities relating to the onboarding and collection of required documentation, training, scheduling, and the contractor file. Collaborates and cooperates with the centralized staffing coordinator on all activities as applicable. Actively and consistently contributes to department operations and communications, behaves in a manner consistent with the mission, vision, and values of Pipeline Health, upholding standards of AIDET (Acknowledge, Introduce, Duration, Explanation, Thank you) patient communication.

Essential Functions:

  • Responsible for the onboarding of all nursing contract staff labor to include Registry, Travelers, and VEMA
  • Ensure all required documents are received and uploaded into the share drive for other facilities to view/print documents.
  • Set up contract staff in timekeeping system.
  • Responsible for staffing for RN contract labor.
  • Schedule Paragon training and Pyxis acces.
  • Manage facility requests for filling shifts by sending out daily/weekly blasts to agencies.
  • Communicate with Staffing Coordinators/Directors when shifts are filled.
  • Initial contact with agencies wishing to do business with Pipeline Health
  • Works with facility assigned Staffing Coordinators and CNOs to ensure consistent processes are being followed.
  • Uses clear, concise, professional communication with coworkers, patients, all customers internal and external.
  • Uses AIDET in interactions with patients and family members.
  • Acts with a sense of urgency when performing tasks.
  • Basic unit/department maintenance such as keeping files, drawers, cabinets free from unnecessary clutter.
  • Reports on any equipment and or environmental issues for repair.
  • Abides by HIPAA (Health Insurance Portability and Accountability Act) regulations.
  • Coordinate admin needs with the Executive assist
  • May assist answering phones and greet visitors
  • Assist with invoice reconciliation
  • Speaks up to stop the line and escalates potential safety events if necessary.
  • Completes and attends monthly training assigned.
  • Other duties as assigned.

  • Attends staff meetings; follows HIPAA guidelines; follows patient rights policy; complies with the compliance program; demonstrates knowledge of role in a disaster; demonstrates knowledge of fire and fire drill procedures; working knowledge of hospital emergency codes. 

Experience:

  • Experience working in a clinical setting with responsibilities of securing agency contract files, preferred.
  • Critical thinking, service excellence and good interpersonal communication skills, ability to read/comprehend written instructions, strong organizational skills, ability to follow verbal instructions, and PC (computer) skills.
  • Proficient with Microsoft: Excel and Word.
  • A capacity to learn, synthesize, make critical judgments, work independently, place patients and families first, and collaborate with the team members who are recognized leaders within health care.
