Summary:

Performs a variety of secretarial/administrative duties in support of Guthrie Hospitalist teams across the Guthrie system. The Hospitalist Coordinator will assist 80+ providers by assuming delegated responsibilities and exercising good judgement. Responsible for ensuring accurate and timely completion of referrals.  Provides support to operational and billing departments regarding referral requirements and processes. Assists with Virtual TCM Clinic operations by continually demonstrating Patient Centeredness, Teamwork, and Excellence in the daily performance of their duties. This position requires the ability to be self-motivated, flexible, punctual and detail oriented; have good time management skills and have excellent communication skills.  

Experience:

Three years of medical office or clerical work required. Strong organizational and customer service skills. Computer skills, Microsoft Office software experience required. Ability to multitask and prioritize work in accordance to changing deadlines. Experience with maintaining clinical schedules and experience with Inpatient Medicine a plus and highly desired.

Education:

Associate’s degree in related field preferred

Essential Functions:

  1. Assists the Chief of Hospital Medicine, Administrative Director, and physicians of the Hospital Med inpatient team with administrative projects and daily function of the administrative office.
  2. Assists the Chair and Chief of Hospital Medicine with coordination of provider interviews.
  3. Coordinate referral submission and retrieval via EPIC and other electronic systems via work-que.
  4. Assists provider with Virtual TCM Schedule and checks for scheduled follow-up test appointments for required referral numbers; initiate corrective action if necessary.
  5. Performs liaison duties between patients and providers and informs of delays in virtual schedule.
  6. Answers phone, directs calls, schedules meetings, maintain calendars.
  7. Communicate with Locum company for schedule updates and accuracy.
  8. Assists in compiling statistical data, reports, and correspondence as assigned.
  9. Posts and distributes monthly physician reports.
  10. Handles confidential matters concerning policies and practices
  11. Responsible for ordering office supplies and maintaining needed inventory.
  12. Acts as support for physicians and providers.
  13. Directs timesheets/time off requests for completion and submission to Provider Payroll
  14. Physician/provider tracking for compliance, licensure needs, etc.
  15. Assists with Clinician wellness activities.
  16. Assists with submission of office maintenance/housekeeping requests.
  17. Assists with onboarding of new physicians related to office space and device setup.
  18. Other duties as assigned.
