We’re looking for a Policy Governance Specialist to join our Integrated Compliance Services team at MBPS. In this role, you are responsible for the policy data management and upkeep in the Global Policy Database (GPD). The Global Policy Database is Manulife’s central repository where our company’s key documents (policies, standards and/or playbook) are standard. The senior analyst will also manage the policy database mailbox and GPD inquiries. Acknowledge, review, and address the cases received through the mailbox and GPD.

Position Responsibilities:

  • Coordinate the Policy Governance Team services​.
  • Provide effective oversight of Policy Management processes to ensure minimum policy requirements are met​.
  • Ensure the operating model for policy maintenance is followed and updated as required​.
  • Provide support to Policy Sponsors and Managers ​
  • Own and administrate GPD, the SharePoint repository for policies
  • Coordinate documentation of the program for policy compliance assessment​ across policies, together with Policy Managers
  • Communicate global policy standards related changes and news, stakeholder engagement. ​
  • Coordinate additional support from Integrated Compliance Services and NA & Asia GLT where necessary​.
  • Prepare and update training materials and videos for users and Policy Managers
  • Prepare and updates playbooks for users and Policy Managers
  • Review policies, standards and other related documents submitted to the policy database.
  • Constantly review Policy Governance Dashboard ensuring all policy review and attestation numbers published correctly.
  • Prepares status reports and updates for the team and stakeholders.
  • Manages Escalations.

  • Receives issues, escalations, and other feedback; manages the overall satisfaction survey of stakeholders and work on the necessary action items to resolve issues and improve customer satisfaction.
  • Identify opportunities for process improvement recommendations.
  • Conduct meetings to disseminate announcements, process changes, policies and calibrate processes.
  • Oversees intake of new projects and work with SMEs to disseminate and/or implement

Required Qualifications:

  • At least 2 years of experience in compliance or regulatory compliance
  • Strong stakeholder management skills across different segments.
  • Experience in reporting: Intermediate to advanced Excel skills (including VLOOKUP and charts) and familiarity with navigating Power BI.

Preferred Qualifications:

  • Compliance testing experience is a plus.
  • Strong organizational, multi-tasking, analytical and problem-solving skills
  • Advanced written and verbal communication skills. Use these skills while working with stakeholders and with different levels of the organization.
  • Demonstrates awareness of other’s time commitments and manages resources to effectively accomplish work within the established timelines.
  • Proficient in MS Office applications such as MS Word, Excel, Power Point
  • Intermediate to advanced proficiency in MS Excel including using formulas, macros and report formatting is strongly preferred.
  • Solid digital fluency skills: knowledge of or ability to learn applicable compliance or business systems
  • Ability to work with BU partners and management in the organization with minimal supervision
  • Intermediate to Advanced project management skills
