- Process semi-monthly and monthly payroll for all employees, including exempt and non-exempt staff.
- Process off-cycle payroll for partner distributions or other corrections needed
- Process funding for 401(k) contribution and loan payoffs.
- Facilitate accurate and timely delivery of employer contributions and employee payroll deductions to carriers, plan administrators, or other appropriate service providers.
- Complete records, reporting, and other documentation required by federal, state, and provider rules, regulations, and policies.
- Assist as needed with routine maintenance of employee records such as job, compensation, address or W-4 changes.
- Utilize import tools to efficiently process mass changes without manual entry.
- Serve as the main point of contact for both employees and business leaders regarding FMLA and short-term disability questions.
- Administer employee benefits programs including health, dental, vision, life insurance, disability, 401(k), and other retirement plans.
- Reconcile invoices from benefit providers and coordinate with the Accounting department for timely payment processing.
- Meet with all new hires to introduce them to the benefit offerings that are available to them, depending on their role.
- Assist employees with benefits enrollment, changes, and questions in a timely and professional manner.
- Coordinate with benefits providers and brokers to resolve issues.
- Create materials for open enrollment and conduct training sessions.
- Assist in resolving claim disputes, understanding EOBs (explanation of benefits), and appealing denials when appropriate.
- Review invoices from benefit carriers to ensure accurate billing based on census.
- Monitor insurance carriers’ reports to ensure the firm’s compliance with plan requirements.
- Ensure the firm’s compliance with the applicable provisions of COBRA, HIPAA, and ERISA.
- Administer FMLA and short-term disability programs to ensure proper documentation and employee pay.
- Maintains knowledge of economic conditions, labor market, and other factors related to ensuring the firm provides competitive and reasonable benefits and compensation scales and structures.
- Maintains knowledge of trends, developments, and best practices in compensation and benefits administration.
- Performs other related duties as assigned.
- Ensure timely completion or distribution of required reports (e.g., W-2s, 1095-Cs, 941s).
- Stay current on changes in payroll and benefits laws and regulations.
- Support audits and ensure proper documentation is maintained.
- Excellent verbal and written communication skills.
- Extensive knowledge of employee benefits and compensation.
- Strong analytical and problem-solving skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Experience working with various parties to establish integrations to pass data to/from benefit providers.
- Ability to manage multiple projects or tasks in a demanding environment.
- Excellent “people” skills and ability to identify solutions when faced with a problem.
- Ability to maintain composure under pressure and exemplify a high level of patience.
- Displays a high level of professionalism in both conduct and appearance.
- Thorough knowledge of COBRA, HIPAA, and ERISA requirements.
- Proficiency in using Microsoft Office products.
- Sitting frequently, six out of eight hours per day
- Sitting position static for up to one hour at a time
- Lifting and carrying up to 20 pounds occasionally, up to one half hour per day
