POSITION OVERVIEW
Alarm.com, a highly innovative and entrepreneurial SaaS (Software as a Service) company, is seeking a Procurement Operations Analyst to join our Business Unit FP&A team, with a primary focus on enhancing our procurement initiatives.
The Procurement Operations Analyst will serve in a central operations role, acting as the organization’s expert on vendor spend, procurement KPIs, and buy-side contract analysis. This Analyst will maintain a continuous and comprehensive view of all third-party vendor relationships, capturing current and historical spend, contract obligations, and usage or utilization metrics such as licenses and headcount. Reporting to the Sr. Manager of Business Unit FP&A, the Analyst will work closely with FP&A, Facilities, IT, and Legal to build a highly effective procurement function that enables our company to better scale and manage resources as we grow.
RESPONSIBILITIES
The Procurement Operations Analyst's primary job responsibilities may include but are not limited to:
- Act as the lead for procurement spend and vendor contract KPI analysis across business units. The analyst will develop regular dashboards and reports summarizing vendor metrics, ensuring actionable insights for leadership decision-making.
- Lead design and continuous improvement of processes around procurement and contract data collection, reporting, and analysis using AI tools or specialized software (such as Conga and Coupa) to automate workflows and reduce manual effort.
- Coordinate with Legal on the organization and systematization of our Conga contract repository for all vendor agreements, finalizing contract terms and creating mechanisms for the early identification of renewal or renegotiation opportunities.
- Track and report on vendor contract lifecycle milestones (e.g., total contract term, renewal dates, notice periods for non-renewal, and payment terms) and support compliance reviews by preemptively identifying risks tied to contract deadlines or obligations.
- Develop and maintain procurement KPIs, such as cost-per-user/license, license utilization metrics, and headcount-based unit economics and leverage these KPIs to encourage vendor consolidation or efficiency (e.g., benchmarking costs against industry averages).
- Maintain and continuously update detailed reporting of all aspects of vendor spend, including run-rate spend, trailing 3-month and trailing 12-month spend, year-over-year growth %
- Partner with business leaders (including FP&A, Facilities, IT, and Legal) to share insights and actionable recommendations on vendor utilization and cost optimization
- Conduct regular spend analyses to identify opportunities for consolidation, renegotiation, or increased efficiency
- Perform regular market analyses to assess opportunities for spend optimization through alternative vendor utilization.
- Support audit, compliance, and regulatory documentation requirements related to third-party spend and contracts, enabling a searchable centralized repository of procurement documentation.
- Other duties as assigned.
REQUIREMENTS
- 2-5 years of experience in finance, procurement analysis, supply chain management, vendor management, or a sourcing/procurement operations role, ideally in a technology-focused or SaaS company
- Bachelor’s degree in finance, Project Management, Operations Management, Procurement, Logistics, or a related field.
- Highly organized, with a demonstrated ability to enhance or create new processes and protocols to improve operational effectiveness
- Proficiency in processing large data sets, creating pivot tables, and building macros
- Experience with reporting tools such as PowerBI; experience with procurement software and contract management tools (e.g., Conga, Coupa, etc.) preferred
- Project management experience (e.g., Trello, Asana, or MS Project) to facilitate coordination efforts across teams.
- Strong analytical and reporting skills, with exceptional attention to detail
- Demonstrated ability to work independently, manage multiple data sources, and synthesize information for executive decision-making
- Effective collaboration and business partnership skills, especially with FP&A, Facilities, IT, and Legal
- Savvy with AI automation tools and techniques, with a drive to leverage AI to increase efficiency in data management, reporting, and communication
- Excellent written and oral communication skills
- Hands-on, proactive, and comfortable working in a fast-paced, evolving environment
