Description

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the Finance and Administration Office. This role will support the Human Resources Team, the Accounting Team, and directly assist the Chief Financial Officer. The ideal candidate will be proactive, resourceful, and able to manage a variety of administrative tasks in a fast-paced environment.


Key Responsibilities:


HR Support:

  • Assist with onboarding processes.
  • Maintain accurate employee records and documentation.
  • Help organize HR events, training, and communications.
  • Support benefits administration and HR compliance tracking.

Accounting Support:

  • Assist with accounts payable/receivable.
  • Organize and maintain financial files and records.
  • Assist with periodic reports, reconciliations, and data entry.
  • Liaise with vendors/staff/faculty and handle routine accounting correspondence.

CFO Support:

  • Schedule and coordinate meetings and prepare agendas.
  • Assist with task coordination.

General Administrative Duties:

  • Answer phones, greet visitors, and manage office supplies.
  • Support cross-departmental projects as needed.
  • Perform other administrative duties and projects assigned.

Requirements

  • Proven experience as an administrative assistant or similar role.
  • Experience supporting HR and Finance/Accounting functions preferred.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with accounting or HR software.
  • Exceptional organizational and multitasking skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
