Chestnut Grove is a 226 unit garden style condominium located in 16 buildings (4 interconnected quads) conveniently located near the Wiehle Avenue Metro Station.
- Provide a 40 hour work week within the time frame of 7:30 a.m. to 6:00 p.m.
- There will be occasions for night attendance (Board meeting) and late dates for the 2 x per year parking cycle.
- Must be familiar with and able to use Microsoft (Word/Excel/Outlook and other software is a plus).
- Must be capable of and experienced with setting up and maintaining an efficient electronic filing system to keep various condo operational documents organized (e.g., proposals, maintenance-related pictures, covenant violations, bills, etc.).
- Strong interpersonal skills and answer and return phone calls on a daily basis (Monday through Friday) and maintain the outgoing voice mail message(s)
- Answer and return emails on a daily basis (Monday through Friday)
- Work with the condominium emergency answering service and maintenance team to be on call for after-hours emergency response.
- It is required to be on call for the community with the onsite maintenance
- personnel on a rotating basis. This responsibility will mean occasional weekend and evening work to handle emergency situations (water leaks, community HVAC issues, etc.)
- Maintain resident information forms and leases and ensure that they conform to governing document requirements, number of residents, number of vehicles etc. and maintain the data base (CINC) of owners and residents.
- Process parking pass applications 2 x per year Work with owners and residents as they move in to ensure they are familiar with parking and other rules at CGCA.
- Routine issuance of storage room keys and tennis court keys and maintenance of key security in the office.
- Perform resale inspections of homes in accordance with state law and coordinate with off site management.
- Process pool pass applications via electronic pool pass system.
- Process work orders in house and coordinate with On Site Maintenance and vendors. Keep white board in office updated with tasks and estimated completion dates as well as CINC platform.
- Maintain move- in fee deposit lists.
- Utilize electronic payable platform for initial review and) payment of invoices and note via description when there may need to be a charge back. (which are subsequently reviewed by the Portfolio Manager.
- Covenant inspections and issue citations utilizing the CINC platform of violations which you can be trained on. Must be physically able to walk up four flights of stairs to perform inspections and to inspect the community for covenant violations with the entire property inspected at least 1 x per month (ie one quad a week)
- Attend the monthly Board of Directors meetings and prepare the monthly report for distribution to the Board of Directors (in addition to Community/Portfolio manager and assist in preparation of monthly report)
- Storage room monitoring to ensure there is nothing stored which may be hazardous, no leaks, items are stored neatly and removed by prior resident upon move out.
- Supervise and log in contractors performing service(s) to the community including but not limited to HVAC, Groundskeepers, Pest Control, Electric, Plumbing, Cleaning contractor, trash.
- Maintain the daily log of the association and send a weekly update to the Board on items that transpired during the week and things to look forward to the next week.
- Willing and able to regularly walk around (a very beautiful, wooded) 16+ acre property AND walk up and down stairs (16 buildings that are all 4 stories without elevators) to carry out the duties of this job.
- Project management experience overseeing condo maintenance and capital improvement projects (e.g., roof replacements, plumbing repairs/upgrades, HVAC repairs/upgrades, etc.) is highly desired.
- And other duties as assigned.
Qualifications
- 1 year of apartment, commercial or property management experience required
- Previous Homeowner Association (HOA) management experience strongly desired
- Microsoft Office products

Pay and Benefits:
$52,000 to $60,000 annually, depending on education and experience.
