We are seeking for and administrative support by overseeing facility management tasks such as repairs, maintenance, and cleaning, while ensuring the efficient use and inventory of office supplies. This role includes welcoming and registering visitors, managing front desk operations, and answering and directing incoming phone calls. Additionally, the position supports the HR department with administrative tasks and actively participates as a member of the local safety and security committees, contributing to a safe and organized work environment.

Some responsibilities will include:

  • Welcome and register visitors to the office and handle incoming phone calls, redirecting them to the appropriate colleagues
  • Manage work permits for contractors working in the office, ensuring compliance.
  • Assist with arranging hotel reservations, transportation, and other logistical needs for visitors or colleagues.
  • Serve as the main point of contact for facility-related issues, such as office maintenance, air conditioning, repairs, basic services (electricity, water, etc) and cleaning.
  • Receive, record, and distribute supplier invoices promptly, following department-specific procedures.
  • Verify and obtain approval for office supply purchases (e.g., cafeteria, cleaning supplies) and prepare payment orders.
  • Maintain accurate and up-to-date records, renewals, and administrative files .
  • Monitor office inventory, ensuring proper distribution and timely replenish
  • Assist in obtaining quotes and comparing options for administrative or HR-related purchases. Conduct periodic reviews of vendor performance, pricing, and service quality to recommend the best options.
  • Assist in planning and executing activities, events, and employee engagement initiatives.
  • Actively participate in safety and security committees, contributing to the design, implementation, and promotion of safety and security plans.

What we need from you:

  • University graduated or student or in the last 2 years of the business administration or equivalent career. Work experience of 2 years in position related can compensate.
  • Strong interpersonal skills, with the ability to communicate and cooperate with employees, managers, colleagues in all levels of our organisation.
  • Computer literate (office intermediate-advanced knowledge)
  • Intermediate command of the English language (oral and written)
  • Excellent customer service skills
  • Punctual and responsible
  • High ethical standards
