Job Summary:

The Basketball Administrative Assistant serves as the primary administrative support for both the Men’s and Women’s Basketball programs. This highly visible, front-facing role is responsible for creating a professional and welcoming environment while managing the daily operations of two dynamic and externally engaged athletics teams. The position supports both Head Coaches, facilitates communications with key university and external stakeholders, and plays an active role in coordinating events and strategic program functions.

Job Description:

Primary Responsibilities:

  • Serve as the first point of contact for the basketball offices, providing a warm, professional, and efficient experience for visitors, including recruits, donors, alumni, student-athletes, and university personnel.
  • Manage facility and coaching staff access, triaging inquiries and coordinating appropriate next steps.
  • Oversee daily office operations for both programs, including:
    • Scheduling and calendar management for Head Coaches and program staff
    • Expense reporting and financial transactions (Workday), including reimbursements, purchasing requests, and cash advances
    • Ordering supplies, coordinating facilities and IT support, and maintaining organized workflows
  • Screen and direct incoming calls, emails, and other communications, ensuring timely and accurate responses on behalf of both programs.
  • Support payment processing and distribution of team and staff apparel.
  • Provide direct support to the Head Coaches for key administrative needs, including special projects and presentations.

Program and Stakeholder Engagement:

  • Assist with planning and executing program events, including donor gatherings, alumni functions, and team-related activities.
  • Partner with staff to support communication efforts with donors, alumni, and other key university constituents.
  • Support coordination of fundraising activities and engagement strategies in collaboration with athletic development staff.
  • Ensure all program-facing materials and communications reflect a high standard of professionalism and accuracy.

Other Duties:

  • Support other departmental initiatives or projects as assigned.
  • Occasional evening or weekend work may be required to support events or travel needs.
  • Perform additional duties aligned with the role’s purpose and scope.

Qualifications:

  • Bachelor’s degree, or an equivalent combination of relevant education, training, and experience
  • Prior experience in administrative support, customer service, or event coordination preferred, especially in a university or athletics environment
  • Proficiency in Microsoft Office Suite; familiarity with Workday or similar platforms strongly preferred
  • Excellent written and verbal communication skills, with strong interpersonal presence and professional discretion
  • Ability to work independently, prioritize tasks, and maintain organization in a fast-paced setting
  • Strong judgment, attention to detail, and comfort interacting with a wide range of audiences
  • Demonstrated ability to support high-functioning teams and contribute positively to workplace culture

Work Environment:

  • This is a full-time, on-site position based in the basketball office suite.
  • This position reports to the Athletics Business Office.
