Description

The Office of Intercultural Development (OID) aims to cultivate an environment in which members of the Lafayette community value one another, engage in meaningful dialogue, and develop skills to enact social change. The Department Coordinator supports all staff within the Office of Intercultural Development and the Office of Religious and Spiritual Life. Our goal is to promote diversity and inclusion and create the optimal learning environment for all stakeholders.

 

What we need:

 

An individual who is a passionate self-starter looking to contribute to a dynamic team and ready to engage with community members. The Department Coordinator position serves as a receptionist or first- line liaison to internal and external contacts and provides general office support. This position reports to the Executive Director of Intercultural Development.

 

 

Specific Responsibilities (but not limited to):

 

 

• Prepares correspondence, take minutes at various meetings, prepare and distributes meeting/committee/training materials and formal communications, prepare mail merges and other mailings.

• Manage and maintain multiple calendars, schedule appointments and set up meetings

• Provide assistance with event/programming/training planning, including preparation of work orders, purchase orders, requisitions, check requests, budgets, tracking event attendance, catering requests, scheduling space using EMS and other related tasks.

• Maintain the office files which include highly confidential material.

• Accurately maintain and reconcile multiple budgets utilizing the College’s Financial management software (Banner). Create weekly budget reports to reflect up-to-date budget balances. Submit transfer of funds (TOC) requests.

• Assist with onboarding of new staff and student employees: Initiate requests to ITS prior to start date, submit building/office key request, complete forms for access to budgets, P-card request, initiate sharing of calendars, set up a meet and greets with various departments, order business cards, and name badge, as well as office supplies.

• Purchasing – travel expense, payment authorizations, cash advances

 

Qualifications

• A great sense of humor

• Proficiency with Microsoft Office & Google Office Suite, Zoom, Canva, Word Press, Adobe

Acrobat, and experience with an institutional database (Banner).

• Demonstrated aptitude for learning, interpreting, and disseminating highly technical information, regulations, and procedures

• Experience working with diverse populations within an intercultural context

• Strong time management, prioritization, and multitasking abilities

• Will be certified as a Designated School Official (DSO) to assist the International Student Office; prior DSO experience is welcomed but not required.

• Ability to manage time and tasks efficiently and complete projects in a timely manner.

• Ability to speak knowledgeably to students, faculty, and staff about multicultural issues.

• Excellent writing, typing, proofreading, and organizational skills with attention to details.

• Ability to work in a team environment and independently with minimal supervision.

• Must exhibit a friendly and professional demeanor with a positive attitude, excellent phone skills, and the ability to provide outstanding customer service.
