Job Description
Step into a dynamic role where you’ll serve as the essential bridge between customers and cleaning professionals in a fast-paced, service-focused environment. As the Administrative Assistant, you’ll take full ownership of appointment coordination and customer communication, working directly with the business owner to ensure seamless operations. This position offers the perfect blend of customer service, organizational management, and process coordination, making you a vital part of delivering exceptional cleaning services. You’ll work with modern systems including Square’s comprehensive platform and have the opportunity to build lasting customer relationships through excellent service coordination and follow-up care.


Responsibilities

  • Manage and coordinate appointment scheduling through the Square booking system, ensuring optimal matching of customer needs with available cleaning staff
  • Handle all customer communication via WhatsApp Business and email, providing prompt and professional responses to inquiries and requests
  • Process appointment requirements and job descriptions from the UK contact center, ensuring accurate understanding of customer specifications
  • Coordinate between clients and cleaning professionals, managing preferences such as gender-specific cleaner requests and special service requirements
  • Conduct post-service follow-up communications with customers to ensure satisfaction and address any concerns or feedback
  • Maintain and update customer loyalty program tracking, applying appropriate discounts (15% off every 10 sessions) and managing reward schemes
  • Organize and maintain accurate customer records, payment status, and service history within the Square CRM system
  • Handle occasional phone consultations for specific customer quotation requests (approximately 1-2 times per month)
  • Ensure seamless end-to-end service coordination from initial booking through service completion and follow-up

Requirements

  • Excellent written English communication skills with strong attention to detail and professional tone
  • Proven customer service experience with ability to handle multiple client interactions simultaneously
  • Strong organizational skills and ability to work independently while taking ownership of critical business functions
  • Experience with appointment scheduling, coordination, or administrative support roles preferred
  • Comfortable learning new software systems (comprehensive Square platform training will be provided)
  • Familiarity with WhatsApp Business and professional email communication
  • Reliable high-speed internet connection and professional home office setup
  • Ability to work UK business hours consistently and maintain professional availability during assigned schedule
  • Detail-oriented approach with ability to follow specific customer requirements and match appropriate service providers
