Description
The Event Operations Manager is responsible for the management of operations pertinent to the execution of onsite and offsite catered events. Areas of responsibility include: event requisition fulfillment (wares, equipment, deliverables, etc.); execution of event delivery (pack out, load out, set up, strike, etc.); management of event service staff; management of our home venue site (Stillwater) and satellite storage locations; and aiding in logistics and operations planning of on-site and off-site events. They maintain accurate inventories of all company-owned and managed wares and equipment, schedule and attend to routine cleaning and maintenance of our home venue, develop and maintain SOPs related to event operations, and abide by all federal, state and local laws and regulations regarding safety and sanitation.
Responsibilities
- Verify, confirm, approve and fulfill all incoming event equipment, wares, vendor, staffing, deliverables and transportation requisitions
- Direct event pack outs, load outs, set ups, strikes, and load ins for all events
- Direct event timelines and deliverables schedules
- Serve as on- and off-site Event Service Lead for events, as needed; create, update and maintain event logs and serve as on-site client Point of Contact
- Facilities Management of Stillwater Events Center and off-site storages, including building maintenance, cleaning, equipment and wares inventory and service, vehicle outfitting and service, laundry and linen service maintenance, and all service and inspection schedules
- Hire, train, schedule, and direct all Front of House Events Service Staff, including Leads, Servers, Bartenders, Event Supports and Porters
- Aid Events Sales and Planner in event development, scheduling, vendor and venue logistics, and act as secondary vendor/venue PoC, as needed
- Any and all duties as assigned by manager
Requirements
Knowledge/Skills
- Minimum of 3-4 years experience in catering/events/banquets operations as a Service Lead or Manager; high volume catering/events/banquets preferred
- 2+ years catering/events venue site management
- Familiar with BEO/Catering forms; experience with TripleSeat preferred
- Familiar with PoS systems; experience with Toast PoS preferred
- Clean driving record
- Passion and enthusiasm for delivering high quality work and hospitality
- Flexible approach when working as part of a team
- Accuracy and attention to detail
- Flexible, responsive and “can-do” attitude
- Must possess or have the ability to attain OLCC permit/Food Handlers card; ServSafe Certified preferred
- Ability to be on feet for extended periods of time
- Ability to be physically active for prolonged periods of time
- Ability to lift, push, pull and otherwise move 35 lbs of weight regularly, up to 50 lbs of weight frequently
- Ability to adapt to change in a growth environment
- Must possess a reliable vehicle
- Must be able to work a variable schedule including weekdays, weeknights, weekends and certain holidays
