ADMISSIONS OPERATIONS CRM SPECIALIST

GRADE 10

BARGAINING UNIT: VSCSF

FLSA: NON-EXEMPT

BASIC FUNCTION
To provide coordination and support of Admissions Office operations by maintaining student record systems, including work flow, delegation of tasks, developing and implementing procedures and generally supporting day to day needs. Responsible for the integrity of data coming into all systems to ensure optimal experiences for potential students and parents.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Perform daily operations associated with undergraduate and graduate records.
• Process the daily file transfer between CRM and SIS
• Process, scan, and upload incoming documents to the CRM by linking to appropriate records and ensuring they are official.
• Prepare and import prospect and inquiry lists from vendors, travel events, etc.
• Audit application files for accuracy with regards to where they are in the admissions cycle.
• Prepare mailings for marketing efforts, admissions decisions and other relevant  correspondence.
• Ensure data integrity by coordinating routine data cleanup processes and ensuring data collection efforts meet our standards.
• Assist with resolving change request and error reports regarding applicant’s records.
• Assist with consolidating duplicate records.
• Stay up-to-date on all new admissions initiatives and processes.
• Provide general guidance and explanation of departmental policies and procedures.
• Assist with general office support answering phones, scheduling visits, and welcoming visitors.
• Assist with updating and maintaining aspects of the import process, source formats, forms, and templates.
• Assist with building queries to support Admissions efforts.
• Perform related duties as assigned.

SUPERVISION RECEIVED
Direct supervision is received from the Associate Director of Enrollment Operations

MINIMUM QUALIFICATIONS
• Associate’s degree or equivalent combination of education and experience.
• Willing to work a flexible/non-traditional schedule.
• Willingness to travel between campuses.

Knowledge:
• Knowledge of admissions operations desirable.
• Specialized knowledge and skills related to specific areas of responsibility.
• Commitment to developing own professional knowledge and the professional knowledge of team members regarding diversity, equity, inclusion and social justice and how it informs practices within area of expertise

Skills:
• Admissions CRM/SLATE skills are desirable
• Excellent customer service and interpersonal skills required
• Strong planning and organizational skills
• Ability to learn and apply the use of customer relationship management database is required
• Expert knowledge of Microsoft Office suite

Abilities
• Demonstrated ability to support a diverse community and promote diverse perspectives, cultures and an inclusive environment
• Ability to use data-informed decision making to inform resource allocation, processes and procedures.
• Ability to work independently as well as collaboratively.

Location: VTSU Castleton, Castleton VT 

Compensation: The budgeted compensation for this position is $16.00 - $18.00 per hour.
