High Associates Ltd. is currently searching for a Full-Time Administrative Coordinator. The Administrative Coordinator's main responsibility is to provide administrative support to the Commercial Property Manager, Rossmoyne/Highlands/Crossing/Suburbia and members of the Brokerage Services Team including, but not limited to, calendar management, meeting material preparation, document preparation, as well as daily tasks, such as: mail retrieval, maintaining adequate office supplies, responding to telephone calls (both maintenance and leasing inquiries), filing, key management, and processing accounts payable. Monitors and answers active sales phone line and directs callers to appropriate team member to respond to their inquiries.

This position is based out of the Rossmoyne office in Mechanicsburg, PA.

This is a Full-Time Position working Monday-Friday from 8:00am-5:00pm. 

Minimum Qualifications:

  • High school diploma with additional general business training required
  • A minimum of four (4) years administrative and or customer service experience including basic Microsoft software knowledge required
  • Valid Driver's License required 

Preferred Qualifications:

  • PA Real Estate License Preferred
  • PA Notary Certificate Preferred
  • Knowledge of MLS and other real estate applications preferred

Essential Job Functions:

  • Act as a primary contact for tenants both in person, by email and by phone. Answer questions, provide assistance, and positively impact tenant retention by providing excellent customer service and follow through.
  • Answer phone calls from incoming tenants for managed portfolios. Enter maintenance requests into Building Engines or similar software. If needed, call maintenance team or vendor for status or to assign work.
  • Attend weekly sales team meeting and document minutes.
  • Process invoices on behalf of the Commercial Property Manager Rossmoyne/Highlands.
  • Collaborate with Property Manager and Brokerage Team to lease and serve the Executive Offices. Activities include showing the space, ensure all vacant offices are in move-in condition, coordinate move-in activities such as signage, furniture placement, phone and internet connectivity, key management, and new tenant orientation. Ensure adequate staffing is in place for the front office/reception, acting as reception back-up as necessary, providing required phone coverage and greeting of guests. Ensure proper operation of all office equipment and order supplies necessary for kitchens and offices, Make recommendation on capital replacements of furnishings
  • Lead planning of tenant events, marketing events, and trade organization functions to promote High Real Estate Group, LLC in a professional and positive manner. This will require cooperation with the Brokerage Team and Property manager as well as, potentially, other High affiliates. This includes scheduling, booking venues, catering, guest list compilation, invitations, RSVP management, and other organizational tasks as required.
  • Prepare Status of Clients Report for the Rossmoyne portfolio on a quarterly basis for distribution to the High Properties Limited Partner meeting, obtaining data from regional offices.
  • Acts as secretary to the Rossmoyne Business Owners Association.
  • Perform other duties and assignments as assigned.
