  • 8:30 am - 5:30 pm with 1 hour unpaid lunch

Job Overview:

We are seeking a compassionate and detail-oriented New Patient Intake & Care Coordinator to serve as the first point of contact for new patients. This role focuses on welcoming patients, gathering and confirming intake information, scheduling initial appointments, and ensuring a smooth onboarding process. The ideal candidate is patient-focused, organized, and proactive in communication, with excellent customer service skills.

Key Responsibilities:

  • Serve as the primary point of contact for all new patient inquiries (phone, email, and web forms)
  • Guide new patients through the intake process, answering questions and ensuring all necessary information is collected prior to their first appointment
  • Coordinate and schedule initial consultations or evaluations based on provider availability and patient needs
  • Confirm insurance eligibility and benefits when applicable, or relay required documentation to the billing team
  • Maintain up-to-date patient intake logs and track new patient onboarding progress
  • Follow up with patients who expressed interest but haven’t completed intake steps
  • Coordinate with clinical and administrative teams to ensure a seamless transition from intake to treatment
  • Educate new patients about office policies, provider options, and what to expect during their first visit
  • Identify and escalate urgent or complex concerns to the appropriate team members
  • Provide a welcoming and supportive experience for all new patients

Requirements

  • Prior experience in a healthcare front office, care coordination, or patient intake role preferred (1-2 years)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Ability to multitask in a fast-paced environment while maintaining a high level of attention to detail
  • Proficiency in using EMR/EHR systems and scheduling software (experience with [specific tools, e.g., Open Dental, Athena, etc.] is a plus)
  • Empathetic, patient-centered approach to communication
  • Spanish Bilingual skills
