Job Description
We are seeking a highly organized and proactive Project Coordinator to manage the operational and scheduling aspects of multiple construction and renovation projects simultaneously. You will oversee timelines, budgets, permits, materials, and contractor coordination to ensure each project runs smoothly, efficiently, and on budget. This role requires excellent communication skills, attention to detail, and the ability to manage priorities in a fast-paced real estate development environment.

Responsibilities

  • Manage up to 40 active projects using project management software
  • Input, monitor, and update project budgets; provide weekly budget variance reports for projects exceeding ±10% of planned budget
  • Apply for and secure permits, inspections, and utility connections with support from the Project Manager
  • Develop and maintain 3-week-ahead construction schedules for contractors and internal teams
  • Monitor schedules, flag delays or accelerations, and update Project Manager weekly
  • Coordinate material purchasing and delivery dates to ensure timely installation and minimize downtime
  • Resolve budget discrepancies with Accounts Payable as needed
  • Support the Operations Manager with KPI reporting and data tracking
  • Coordinate punch list completion and ordering of necessary materials
  • Prepare scopes of work, distribute drawings/specifications, and communicate project details to contractors
  • Maintain daily communication with contractors and internal staff to ensure project needs are met
  • Manage daily scheduling of internal construction and maintenance teams

  1. Maintain and communicate accurate 3-week-ahead schedules to all parties
  2. Ensure material deliveries align with project timelines and installation needs
  3. Keep contractors engaged with ongoing work for at least 3 months to secure workforce continuity

Requirements

  • Proven experience coordinating multiple construction or renovation projects simultaneously
  • Strong organizational skills and proficiency with project management tools
  • Understanding of construction timelines, permitting, and material procurement processes
  • Strong communication skills to work effectively with contractors, suppliers, and internal teams
  • Ability to adapt to changing priorities and problem-solve in real time
