This is a remote position.

Schedule

  • 8:00 AM - 5:00 PM with 1-hour lunch break at noon
  • Client Timezone: Pacific Time
Responsibilities
  • Create and manage daily schedules for field technicians across multiple job sites
  • Follow up with clients on project status, appointments, and service requests
  • Prioritize work orders by determining emergency vs non-emergency situations (plumbing/electrical are priority)
  • Track and manage invoices, payments, and outstanding balances
  • Create estimates for work exceeding budget thresholds and send to property owners for approval
  • Schedule work appointments and coordinate timing with clients and technicians
  • Handle client inquiries and complaints with professionalism and patience
  • Serve as communication bridge between English-speaking clients and Spanish-speaking field team
  • Maintain and update virtual office systems with current project information
  • Make and receive phone calls for appointment setting and client communication
  • Process work orders and coordinate appropriate technician assignments based on specialization
  • Manage email correspondence and administrative documentation

Scope:

  • Supporting construction and remodeling operations across multiple job sites
  • Managing client relationships for both occupied and vacant properties
  • Coordinating between office operations and field technicians
  • Handling both routine administrative tasks and urgent emergency situations
  • Working within approval-based budget system for project estimates
  • Supporting a team of 5 employees with diverse specializations (plumbing, electrical, general construction)

Requirements

  • Fluent bilingual capabilities in both English and Spanish (written and verbal communication)
  • Proficiency with Microsoft Teams and general computer applications for seamless operational coordination
  • Exceptional professional communication skills for managing diverse client interactions and expectations
  • Proven experience with administrative tasks, office management, and organizational systems
  • Demonstrated ability to handle challenging or demanding clients with patience, professionalism, and conflict resolution skills
  • Strong phone communication capabilities for both inbound and outbound call management
  • Professional typing skills and advanced email management experience
  • Basic understanding of invoice processing, payment tracking, and financial administrative tasks
  • Critical thinking abilities to assess task urgency levels and prioritize competing demands effectively
  • Flexibility and adaptability to work Pacific Time zone hours in a dynamic, fast-paced construction environment
