Job Overview
This is an exciting opportunity to become the operational backbone of a thriving marketing consultancy, where you’ll serve as the central coordination hub for client communications, team management, and project execution. You’ll participate in regular strategic planning sessions with leadership, manage client relationships through professional communication, and ensure seamless project delivery across multiple business verticals. This role offers the perfect blend of administrative excellence and project coordination, allowing you to develop valuable skills while contributing to the growth of an expanding business. Responsibilities
- Process and distribute AI-generated meeting summaries to clients via professional company communications
- Coordinate project workflows through various communication channels including WhatsApp and voice messaging systems
- Participate in strategic planning sessions three times per week (Monday, Wednesday, Friday) to review client projects and assign team tasks
- Manage executive email inbox, prioritize communications, and ensure timely follow-up on all client matters
- Extract key metrics from marketing dashboards and compile professional client reports through systematic data entry
- Monitor project timelines and proactively follow up with team members on task completion and deliverables
- Maintain accountability systems for both team members and leadership on outstanding project items
- Facilitate seamless communication flow between leadership, internal team, and external clients
- Support the founder with day-to-day operational tasks that arise in a growing business environment
- Exceptional English communication skills (both written and verbal) - this is essential for client-facing responsibilities
- Proven experience with project management platforms, with strong preference for Asana expertise
- Outstanding organizational abilities with keen attention to detail and systematic approach to task management
- Highly responsive communication style with ability to manage multiple priorities simultaneously
- Previous experience in administrative support or project coordination roles preferred
- Self-motivated work style with ability to work independently while maintaining regular collaboration with leadership
- Comfortable with data entry, report compilation, and basic technical tasks
- Reliable high-speed internet connection and professional communication setup
