Description
ESSENTIAL DUTIES:
- Manages payroll process that includes importing, proofing, editing, and processing all payroll wages, deductions, reimbursements, bonuses, and commissions, consistent with federal and state wage and hour laws.
- Performs payroll-related functions including but not limited to: processing new hires, approving electronic change forms for wage changes, terminations, or other status changes, filing completed payroll summaries and submitting wage garnishments to the HRIS team or other system-based tasks.
- Stays current on changes in federal, state, and local payroll regulations to ensure compliance with all applicable employment laws and recommended best practices; regularly reviews company policies and practices to maintain compliance.
- Maintains accurate payroll records while ensuring communication internally with post-payroll reporting.
- Manages 401K plan administration including associate enrollments, deferment files, funding, annual audits, and responding to participant inquiries.
- Participates and assists with the Annual Performance Appraisal process.
- Responds to routine payroll inquiries such as wage garnishments, fringe benefits, direct deposit, and employment verifications.
- Assists with initial hiring/associate onboarding tasks, including but not limited to I-9 completion, background checks, eVerify processing, and assignment of electronic files.
- Periodically participates in associate relations discussions or investigations.
- May assist with recruitment, including review of applications, conducting phone screens to match experience with specific job-related requirements.
- Gather and analyze data with useful payroll metrics and provide accompanying solutions or recommendations as applicable.
- Responsible for ensuring associates are on-boarded and off-boarded seamlessly and professionally and ensure all compliance requirements are met.
- Prepare and submit year end checklist, W-2s, and other required reports.
- Other duties as assigned.
Requirements
Education & EXPERIENCE:
- Experience with communicating HR policies bilingually in English and Spanish preferred
- An undergraduate degree in HR/Business Administration or a related field
- 3+ years of payroll experience preferred
- 2+ years of experience as an HR Administrator or Payroll Manager preferred
- Must have experience in multiple state payroll processing
- PHR, SPHR, SHRM-CP, or SHRM-SCP preferred

Knowledge & Skills:
- Technical Knowledge – Strong knowledge of federal, state and local knowledge.
- HRIS Knowledge – Proven experience with HRIS management tools and ATS software (Paylocity preferred but not required)
- Communication Skills – Ability to communicate effectively when speaking. Writing skills must demonstrate clear and concise messages, while still coming across as supportive.
- Computer Skills – Subject-matter-expert knowledge of data analysis techniques and tools with some applications including Word, Excel and PowerPoint (Pivot Table, Data validation)
