Purpose
The Epic Change Management and Communication Lead will serve as lead change enabler for the Epic implementation. The Epic Change Management and Communication Lead is responsible for implementing and managing changes within an organization to ensure that business goals are achieved with minimal disruption.
Responsibilities
Change Management / Communication Planning and Execution:
Designing and implementing change management strategies and plans that maximize employee adoption and usage while minimizing resistance.
Working closely with project managers and other stakeholders to ensure that changes are implemented smoothly, and deadlines are met
Lead and coordinate user adoption efforts along with training staff and other project team members
Develop plans for both change management and communications that align to overall implementation phases and scope
Change Management Process:
Apply a structured methodology and lead change management activities. Create a strategy to support adoption of the changes required by project or initiative
Conduct impact analyses, assess change readiness and identify key stakeholders
Provide input, document requirements and support the design and delivery of training programs
Complete change management assessments
Identify, analyze and prepare risk mitigation tactics
Coordinate efforts with other specialists
Integrate change management activities into project plan
Evaluate and ensure user readiness
Communications:
Develop and execute a comprehensive communication strategy to support all phases of Epic implementation, ensuring alignment with organizational goals and stakeholder needs.
Support the design, development, delivery and management of communications
Create and deliver clear, consistent messaging across multiple channels (e.g., email, intranet, town halls) to inform, engage, and prepare clinical and non-clinical audiences.
Collaborate with project leadership, department heads, and super users to cascade key messages and maintain alignment across teams.
Design and manage feedback loops (e.g., surveys, focus groups) to assess change readiness, address concerns, and adapt communication plans accordingly.
Support training initiatives by promoting schedules, clarifying expectations, and reinforcing the importance of end-user readiness.
Coordinate go-live and post-go-live communications, including issue updates, success stories, and stabilization progress.
Serve as a trusted advisor on change management best practices, helping to build awareness, reduce resistance, and foster adoption of the new Epic system.
Provide on-going end user clinical information systems support with all upgrades, new releases, enhanced functionality, and requested change and problem management support following the outlined ITIL processes.
Responsible for other duties and special projects as assigned.
Required Qualifications
Bachelor's Degree in a health, science, or business field, or in lieu of a degree, five (5) years of related professional experience supporting clinical, ancillary, or business environments will be considered.
Strong knowledge of clinical information systems, clinical informatics, data management and administration.
Experience and proven success in information systems implementation, development and support within a large-scale healthcare organization required.
Must have demonstrated experience working with clinicians in a support and/or educational role. Able to exercise problem-solving skills, good judgment based on guiding principles, and organizational policies/practices.
Excellent verbal and written skills, strong interpersonal skills, and the ability to work independently and as a member of a team.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Preferred 5-7 years previous clinical information systems experience or equivalent.
Demonstrated experience as a major participant in an Epic configuration and implementation.
Ability to work with senior staff and managers, serving as a technical resource and providing advice and counsel on issues of functionality, efficiency, and performance.
ITIL Foundation certification is preferred.
Active Epic Certification, Accreditation (considered), or Proficiency in related applications is preferred.
Salary Range
$75,000+ depending on qualifications
