The Executive Assistant provides administrative support for the Regional Director. Work involves overseeing and coordinating regional administrative activities ensuring efficiency to meet deadlines. May supervise administrative staff. May serve as the liaison for inventory, purchasing, travel, personnel, safety, records management, leave, facilities, and other duties as assigned by management. The Executive Assistant position shall report to an OAG work location at a CSD Region One Office (Lubbock, Amarillo, Wichita Falls, Abilene, San Angelo or Odessa), however, the candidate must collaborate with relevant stakeholders throughout the region and state, and some travel can be expected.

Coordinates, prepares and supervises the preparation of forms and documents for administrative activities such as supplies, leave, travel payroll, personnel documents, purchasing, inventory, training requests and office equipment and building maintenance
Provides administrative support to the region, including drafting correspondence or reports, answering phone calls, processing mail, attending meetings, assigning and monitoring tasks for regional staff, and scheduling appointments
Trouble-shoots and resolves issues and complaints, such as reassigning staff to cover for absences or emergencies, monitoring work flow to identify backlogs, and inquiries
May supervise support staff, including assigning and monitoring work, preparing and conducting performance plans and evaluations, initiating personnel actions, resolving work related conflicts and participating in interviewing and hiring
Provides training and technical assistance
Assists in developing procedures
Assists with the regional budget
Coordinates computer equipment and telecommunication needs with IT
Coordinates office moves and/or space allocations
Scan and index documents
Review and maintain child support virtual files for accuracy in the Enterprise Content Management (ECM) repository.
Performs related work as assigned
Maintains relevant knowledge necessary to perform essential job functions
Attends work regularly in compliance with agreed-upon work schedule
Ensures security and confidentiality of sensitive and/or protected information
Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications
Executive Assistant II:
Education: Graduation from high school or equivalent
Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: full-time Child Support Program, office administration, administrative support, legal support, customer service
Experience: Four (4) years of full-time experience working in the following (or closely related) fields: Child Support, office administration, administrative support, legal support.
Knowledge of general office practices and administrative procedures
Skill in using a computer with word processing, spreadsheet or database software
Skill in handling multiple tasks, prioritizing, and meeting deadlines
Skill in problem solving
Skill in effective oral and written communication
Skill in exercising sound judgment and effective decision making
Ability to receive and respond positively to constructive feedback
Ability to work cooperatively with others in a professional office environment
Ability to provide excellent customer service
Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
Ability to arrange for personal transportation for business-related travel
Ability to work more than 40 hours as needed and in compliance with the FLSA
Ability to lift and relocate 30 lbs.
Ability to travel (including overnight travel) up to 5%
Ability to type 45 words per minute (Typing test required at time of interview)
Executive Assistant III: All of the above qualifications for an Executive Assistant II, PLUS:
Experience: Two (2) additional year of full-time experience working in the following (or closely related) fields: Child Support. Office administration, administrative support, legal support or customer service
PREFERRED QUALIFICATIONS
Experience: Supervisory, team lead, or project management
Knowledge: Agency policies and procedures
Other Language: Ability to proficiently read, write, and speak Spanish
