POSITION SUMMARY

Reporting to the Director of Human Resources, the Human Resources Coordinator provides high-level administrative and coordination support to the HR Department. This role focuses on optimizing HR processes, streamlining administrative tasks, and supporting initiatives that improve efficiency and the employee experience. The HR Coordinator plays a key role in benefits, pension, and disability management administration, onboarding and training coordination, and the maintenance of accurate employee records. 

EDUCATION/EXPERIENCE 

  • Diploma in Human Resources Management, Business Administration, or a related field
  • Certified Employee Benefits Specialist (CEBS) or working towards is an asset
  • CPHR designation, or working towards, is an asset
  • Minimum of 2 years of experience in Human Resources, Administration or Benefits administration
  • Previous experience working in a local government or First Nation environment, as well as experience engaging with Indigenous communities or peoples, is considered an asset
  • Equivalent combination of education, training and experience may be considered

REQUIREMENTS 

  • Criminal Record Check with results acceptable to WFN
  • Maintains a high level of confidentiality and uses discretion on all matters relating to the affairs of the Westbank First Nation

JOB DUTIES/RESPONSIBILTIES

  • Administers and responds to inquiries regarding benefits, pension, and disability management processes, including enrollments, terminations, and changes in benefit status
  • Assists with communications and filing regarding leave of absence processes (maternity, paternity, disability, etc.)
  • Maintains the currency and accuracy of WFN organizational charts and communicates updates to the Senior Leadership Team monthly
  • Prepares agendas and takes minutes for HR Team and Departmental meetings
  • Takes the lead in gathering, tracking, and creating reports on HR Metrics for the purpose of regular reporting, including assisting with the preparation of various reporting requirements
  • Manages the approval process of the WFN Health and Wellness Allowances and provides annual reporting
  • Explores the potential of optimization of modules in UKG (HRIS System) to improve data accuracy, streamline HR processes, and enhance reporting capabilities
  • Provides tracking, filing, and support with WFN activities such as 30, 60, 90-day reviews, annual reviews, annual increases and remote work agreements  
  • Assists in the creation and maintenance of HR forms, manuals, and checklists relating to the HR Lifecycle (policy, recruitment and selection, performance management, employee change notifications)
  • Provides recruitment administration support including creating job postings, creating interview questions, scheduling interviews, filing competition documents and assisting at career fairs
  • Provides support to the HR Advisors by drafting required letters and correspondence supporting the regular HR process.
  • Assists with job description updates as required by the HR Advisors
  • Develops and delivers presentations to staff on topics such as benefits coverage, pension plans, and retirement programs
  • Conducts monthly site visits to other WFN locations to meet with staff and provide support in addressing benefits, pension and UKG related questions
  • Posts bi-weekly helpful posts on WFN’s intranet (Jostle) to educate and promote on benefits, pension, Health & Wellness, etc.
  • Manages WFN’s employee recognition program including gift cards purchase, maintaining thank you card stock, and tracking all requests
  • Files correspondence, documents, and certifications related to Employee Personnel Files
  • Manages WFN branded inventory included beaded lanyards
  • Resets passwords for UKG System
  • Issues ID badges to new hires
  • Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards, and procedures, and as assigned by the Director of Human Resources

 

KNOWLEDGE SKILLS/ABILITIES 

  • Understanding of employment standards, labour laws, and HR best practices (e.g., Canada Labour Code, Human Rights Code)
  • Proficiency in HR information systems (UKG preferred) and Microsoft Office Suite
  • Excellent interpersonal skills, organizational, and time management skills
  • Demonstrates initiative by identifying opportunities for improvement, taking proactive steps to address issues, and completing tasks with minimal supervision
  • Excellent written and verbal communication
  • Attention to detail and accuracy in handling documentation
  • Ability to multi-task and set priorities effectively in a dynamic work environment, while maintaining accuracy and meeting deadlines
  • Demonstrated capacity to manage competing demands, adapt to shifting priorities, and remain focused under pressure
