Role & Responsibilities
Ensure efficient daily running of the office, including answering calls, responding to inquiries, directing
and educating visitors and vendors as required
• General administrative duties – filing, copying, scanning, etc.
• Managing outgoing and incoming mail processes
• Support with vendor management, liaising with serviced office company re monthly office rent and service invoices
• Ensuring office is fully stocked of all stationery, marketing and other business materials
• Ensure readiness of meeting rooms
• Submit expenses and ad hoc support with expense reporting as needed
• Support with input into the client record management system i.e. calls, contacts, emails
• Assist with organizing marketing efforts and client events, attending when required
• Support with ad hoc client administration requests i.e. issuing engagement letters, document management
• Any other tasks deemed necessary for the efficient running of the business
Skills & Experience
• 3 years of experience in a similar office administration capacity
• Experience obtained within a similar field i.e. legal, financial services or accountancy is strongly preferred
• Ability to provide support to senior management independently handling a variety of administrative tasks
• Strong skills in Microsoft Suite of Products, including Word, Excel and PowerPoint
• Highly organized with the ability to manage time effectively within a deadline driven environment
• High level of interpersonal skills with excellent verbal and written communication
• Demonstrable ability to effectively problem solve, be proactive and can work well unsupervised using own initiative
• Excellent attention to detail and ability to exercise discretion and confidentiality in all matters
