Civil Science is seeking a detail-oriented and proactive Part-Time Administrative Assistant to join our St. George team and provide essential support to ensure the smooth and efficient operation of our daily activities. This role is ideal for someone who thrives in a fast-paced environment, excels at organization and multitasking, and enjoys playing a key role in supporting team success.
As an Administrative Assistant, you will handle a wide range of administrative functions—from calendar management and document preparation to event coordination and social media content creation. You will work closely with both staff and leadership to maintain office efficiency, support HR and operational initiatives, and contribute to a productive and well-organized work environment.
Responsibilities:
- Assist the Office Administrator in managing office operations, including organizing files, maintaining records, and completing general administrative tasks
- Coordinate scheduling and calendar management for leadership and staff
- Prepare and distribute reports, presentations, and correspondence
- Create social media content and assist in developing internal/external training materials using tools like Canva and PowerPoint
- Monitor and maintain office supply inventory; coordinate with vendors as needed
- Help organize office events, staff meetings, and training sessions, including logistics and materials
- Support basic HR tasks such as onboarding, training documentation, and employee engagement activities
- Perform general administrative support such as data entry, documentation processing, and communication coordination
Qualifications:
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- High attention to detail and accuracy in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Familiarity with design tools like Canva is a plus
- Ability to work independently and take initiative
- Previous experience in an administrative role is preferred
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds at times.
- Ability to set up and participate in activities, which may include squatting, bending, and lifting.
