This role offers a unique opportunity to take ownership of event planning while leading a motivated team, with the aim of raising awareness and delivering exceptional experiences that support our clients and their families.
About the Role
As the Lead Events Planner, you will be responsible for planning, organising, and executing a range of events, workshops, and seminars from concept through to completion. You’ll lead a dedicated team, oversee all event logistics, and ensure each event is delivered smoothly, within budget, and with a high level of client/participant satisfaction.
About You
You are a natural organiser and inspiring team leader with a strong background in events management. You're passionate about community engagement and have a keen eye for detail, all while staying calm under pressure. You understand how to create inclusive and meaningful events and have the ability to juggle competing priorities with professionalism and positivity.
Key Responsibilities
Event Planning & Execution
- Plan and deliver impactful events, workshops, and seminars.
- Coordinate logistics including venue booking, catering, AV, registration, and more.
- Facilitate engaging presentations to educate attendees about our services.
- Develop detailed event plans, budgets, timelines, and evaluation strategies.
- Source, liaise, and negotiate with vendors and service providers.
- Ensure seamless execution on the day of the event, including setup and pack-down.
- Assess risk and implement contingency plans to ensure attendee safety.
- Collect post-event feedback and provide reports on event effectiveness
Team Leadership
- Lead, support, and inspire a small events team.
- Delegate responsibilities effectively and monitor progress.
- Foster a high-performance culture by setting KPIs and supporting professional development.
- Encourage collaboration, creativity, and accountability across the team.
Client & Participant Engagement
- Build and maintain positive relationships with clients, families, and stakeholders.
- Regularly assess satisfaction and develop strategies to enhance client engagement.
Marketing & Community Outreach
- Collaborate with the marketing team to support campaigns and create promotional materials.
- Assist in sharing success stories and testimonials to highlight our impact.
- Represent the organisation at conferences, expos, and community events.
Administrative Support
- Manage data entry, documentation, and routine correspondence.
- Attend and contribute to team meetings and interdepartmental collaboration.
- Complete additional clerical tasks and provide general administrative support.
Essential Skills & Experience
- Proven experience in planning and managing events end-to-end.
- Strong leadership and team management skills.
- Excellent organisational and time-management abilities.
- Budgeting and vendor negotiation experience.
- Outstanding communication and interpersonal skills.
- A background in aged care, NDIS, or community services is desirable.
- Proficiency in Microsoft Office and event management tools.
