Job Description
Ohio Department of Public Safety - Ohio State Highway Patrol
Report In Location - 3665 State Route 4, Bucyrus 44820
Provide administrative assistance to District Staff Officers by relieving them of routine administrative tasks (e.g., compose answers to correspondence, provide requested materials, provide explanation of Divisions duties & responsibilities either orally or by written correspondence, research & respond to internal &/or external inquiries, coordinate daily work flow of office, update &/or maintain office manuals &/or notebooks):
Utilize various databases to input, update &/or retrieve information (e.g., office equipment & supplies, requisitions & deliveries, crash reports, vehicle repairs, training records, &/or monthly weights, etc.);
Use personal computer to complete tasks (e.g., create records, files, letters, & Inter Office Communications; prepare reports, statistical information, minutes of meetings, contracts, tables, graphs, confidential backgrounds & other types of investigations, etc.);
Review all materials for errors & make necessary corrections; Send teletypes; Review invoices for accuracy & completeness;
Receive invoices (e.g., date stamp, verify charges, record in account book for future payment);
Pays invoices &/or purchases with state issued credit card (e.g., prepare District wide monthly voyager report; process miscellaneous revenue);
Maintain appropriate personal equipment inventory records for District Personnel & facility (e.g., fleet inventory, gasoline, phone utilities, vehicle maintenance tracking, etc.);
Perform related clerical tasks (e.g., take messages, screen & direct calls, maintain procedure files & retrieve information from them as needed, copy & distribute written materials, keep records of district level off-duty details, maintain inventory of office supplies & requisitions when needed, etc.);
Greet visitors & direct them to the appropriate staff officer or directly assist them;
Fill in for other support staff in their absence;
Perform other related duties as required.

Qualifications
1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.
For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
