Overview of role
To schedule training resources (trainers, rooms and assets), allocate tasks and coverage across all modes for Operational Training and Skills Development (OTSD) through different systems-based tools such as SAP, Cygnum, CourseSight and MyKnow as well as others as required whilst working to shared scheduling processes.
There are two scheduler positions. One of these positions will need to have thorough knowledge and hands on experience of Network Rail - Sentinel administration processes. Please specify in your cover letter if this is the position you are interested in applying for.
To maximise utilisation of resources and coverage across all of OTSD through the identification of interdependencies and opportunities for resource rationalisation.
Key Accountabilities
- To support in the delivery of OTSD intervention targets through the efficient allocation of resources including trainers, classroom and specialist equipment as appropriate
- To demonstrate a sound understanding of delivery commitments for the wider business to enter delivery against KPI sets
- To build effective relationships across OTSD in order to provide the required level of support for OTSD business partners
- To liaise with the learning systems specialists to highlight reoccurring issues around workarounds for scheduling
- Produce high quality and accurate reports, analysis and preliminary information from the schedules including data and metrics required and feed into the compliance, systems and data team
- Support standardised and consistent scheduling processes across OTSD
- Act as a one stop shop for queries from operational teams to understand delivery demand and scheduling processes
- To support the business on how to book themselves on to training using any and all systems
- To highlight resource issues against demand to meet business requirements and workload across department
- Responsible for work instruction and guidance to the business to drive and improve efficiencies
- Responsible for early review and patterns of course issue linking these to non-attendance and informing revenue support administrator to mitigate actions on possible trends
- Uphold TfL values and behaviours
- Follow direction, challenge thinking and advise on recommendations or improvements.
Skills, Knowledge & Experience
Skills
- Organised and methodical

- Ability to analyse and manipulate data from a variety of sources in order to make recommendations.
- Accurately follow processes and procedures
Knowledge
- Knowledge of Sentinel administration processes (essential for one of the two vacancies)
- The post requires specific systems knowledge of SAP/Oracle/ePortal/SharePoint and to utilise the scheduling and coverage systems (essential)
- Knowledge of SAP and/or similar scheduling systems (CMS, Cygnum, CourseSight & MyKnow) (essential)
- Expert knowledge of Microsoft packages including Word, Excel and PowerPoint. (essential)
- Awareness of TfL Operations and how they work together
Experience
- Experience of working to demanding targets to meet tight service levels
- Experience of carrying out Sentinel administration, following Network Rail rules (essential for one of the two vacancies)
- Ability to work with others but also work on own initiative to ensure work is completed on time and accurately
- Experience of making decisions quickly to provide the best possible outcome for the business
- Experience of cross referencing a number of sources to ensure accuracy of data
- Experience of working collaboratively to achieve team goals and objectives
- Experience of working to tight deadlines in an output specified, results orientated team with clear deliverables.
