Job Description

Primary Function of Position:

The People Services Representative reports directly to the Sr. People Services Supervisor and plays a critical role in supporting the full staffing lifecycle. This position is responsible for managing job requisitions, coordinating interviews, overseeing preboarding activities, and processing employee movements such as promotions, conversions, and global transfers. Success in this role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with cross-functional teams. The Staffing Coordinator contributes to a seamless and positive employee experience by ensuring timely and accurate execution of staffing processes.

Essential Job Duties:

  • Review and approve job requisitions in alignment with business needs and hiring manager requests. Follow up with stakeholders to ensure timely progress and accuracy in job details.
  • Schedule interviews and manage logistics for candidates and interviewers. Maintain clear and timely communication with candidates, hiring managers, and interview teams to ensure a smooth interview experience.
  • Ensure all onboarding tasks are completed accurately and on time. Communicate with new hires to provide a positive and welcoming onboarding experience.
  • Perform various HR administrative tasks including data entry, employment verifications, E-Verify processing, background checks, and coordination with payroll. Escalate background check issues when required and ensure timely resolution. Respond to payroll inquiries and maintain accurate employee records.
  • Maintain and update employee and organizational data, ensuring accuracy and compliance with data management procedures. Support changes related to reporting structure, work location, and other employment details.
  • Ensure all HR processes comply with internal policies and legal requirements. Maintain confidentiality and integrity of employee records.
  • Identify, raise, and apply opportunities for continuous improvement in HR services and systems.
  • Assist in testing and validating HR software implementations and system updates. Provide feedback on system functionality and report any issues to the appropriate teams.
  • Collaborate on and lead the execution of strategic HR projects and initiatives.
  • Build and refine instruments that support data-driven process enhancements.

Qualifications

Required Skills and Experience:

  • Customer Service Orientation: Passion for delivering world-class customer service with attentiveness, responsiveness, and a strong focus on employee needs.
  • Attention to Detail: Proven ability to manage multiple tasks while maintaining a high level of accuracy and thoroughness.

  • Organizational Skills: Strong ability to prioritize, stay organized, and drive process improvements.
  • Technical Proficiency: Experience with HR tools such as Workday, SmartRecruiters, and ServiceNow is a plus.
  • HR Experience: Minimum of 4+ years of experience in Human Resources or a related field.

Required Education and Training

  • Bachelor's degree and/or certification in HR, Business Administration, or related field is preferred.
