As a Payroll Partnerships Manager, you will play a pivotal role in ensuring the seamless integration of our payroll solutions with various partner systems, including HR software, time and attendance systems, and accounting platforms. You will manage a small team and oversee the day-to-day operations of our global payroll partners. Your contributions will directly impact the user experience, product functionality, and operational excellence of our payroll platform.
Key Responsibilities:
Support Product Development:
- Become a power user of the Helios platform to deliver effective training, build SOPs, and provide expert guidance to internal teams and customers.
- Collaborate cross-functionally with Sales, Customer Service, Product, and Engineering to enhance the customer journey.
- Lead initiatives to optimize onboarding workflows through process improvements and automation.
- Conduct rigorous testing and quality assurance of integrations to ensure data integrity and system stability.
- Troubleshoot integration-related issues and collaborate with internal and external stakeholders for resolution.
- Create and maintain comprehensive documentation, including setup guides and troubleshooting resources.
- Monitor integration performance and implement enhancements to improve reliability and efficiency.
Global Payroll Compliance:
- Maintain Regulatory Awareness: Monitor and interpret global payroll legislation and regulatory changes to ensure ongoing compliance across all jurisdictions.
- Audit & Risk Management: Conduct regular internal audits of payroll processes and documentation to identify and mitigate compliance risks. Ensure payroll workflows are compliant with ISO and SOC standards.
- Policy Development & Enforcement: Develop, implement, and enforce global payroll compliance policies and procedures in alignment with corporate governance.
- Training & Guidance: Provide training and support to internal teams and stakeholders on payroll compliance requirements and best practices.
- Data Privacy & Security: Ensure payroll data handling complies with global data protection regulations (e.g., GDPR, PIPEDA).
- Issue Resolution: Investigate and resolve compliance-related payroll discrepancies or escalations in a timely manner.
- Documentation & Reporting: Maintain accurate and up-to-date documentation of payroll processes, controls, and compliance reports for audit readiness.
- Oversee the compilation and validation of Helios’ Country Profile data
- Ensure all integrations comply with data protection and security standards (e.g., GDPR, SOC 2).
Support & Client Consultation:
- Serve as a point of escalation for complex, multi-country payroll issues, ensuring timely and trust-building resolutions.
- Provide expert consultation on global payroll practices, tax regulations, and compliance nuances.
- Partner with internal teams to resolve issues and communicate resolutions clearly to clients.
- Collaborate with Customer Success team to deliver proactive updates and best-practice guidance.
- Contribute to training resources that reduce escalations and enhance team knowledge.
- Ensure client support meets strict SLAs and reflects a high standard of service.
Team Management:
- Oversee daily team operations and track performance against KPIs and quarterly goals.
- Provide coaching, feedback, and training to foster continuous learning and development.
- Lead knowledge-sharing sessions to elevate payroll expertise across the team.
- Identify and implement opportunities to improve operational efficiency and scalability.
Global Year-End Process
- Accountable for all year-end activities related to the Employer of Record and Independent Contractors, including but not limited to accuracy of the tax forms, timeliness, and cost associated with generating the tax forms.
- Coordinate with global payroll providers and vendors to ensure timely and accurate submission of year-end tax documents (e.g., W-2s, 1099s, T4s, P60s).
- Review and reconcile year-end payroll data to ensure compliance with local tax regulations and internal policies.
- Manage year-end communications with internal stakeholders and external contractors regarding tax form distribution and deadlines.
- Lead year-end audit preparation by compiling necessary documentation and responding to auditor inquiries.
- Implement process improvements to streamline year-end reporting and reduce errors or delays.
- Monitor legislative changes in tax reporting requirements across jurisdictions and ensure timely updates to processes and systems.
- Support issue resolution related to incorrect or missing tax forms, coordinating with vendors and internal teams as needed.
Develop and maintain year-end process documentation and training materials for internal use
What You’ll Bring:
- 5-10 years of proven experience managing global payroll operations in a high-growth or startup environment.
- Strong communication skills with the ability to explain complex data clearly across formats.
- Experience with Managed Payroll Services and working across multiple time zones.
- Comfortable working remotely and independently in a fast-paced, evolving environment.
- Multilingual capabilities (English required; additional languages a plus).
- Deep knowledge of multi-country payroll, tax principles, social security, and wage laws.
- Familiarity with payroll systems (e.g., ADP, SAP SuccessFactors, Workday).
- Client-Centric Approach: Experience supporting high-touch enterprise accounts and managing escalations with professionalism.
- Problem-Solving Skills: Skilled in analyzing payslips, reconciling payroll data, and resolving complex issues.
- Adaptability: Thrive in ambiguity and adapt quickly to shifting priorities and jurisdictions.
- Analytical Mindset: Strong research and documentation skills with a focus on workflow optimization and process improvement.
