Data, Technology & Delivery are accountable for planning and preparing the organisation for the future through strategic technology innovation as well as charting our business strategy and executing for today and tomorrow”. Join our dynamic program team, delivering impactful regulatory reforms across the organisation.
Reporting to the Practice Manager Project Management, the Project Coordinator works closely with project team members, managers and leads to help deliver major organisational projects efficiently.
Key Accountabilities/Responsibilities
Reporting & Documentation
- Maintain reporting packs for Steering Committees, Sponsor meetings, and Exec groups.
- Support recurring reporting for portfolio and project managers.
- Manage invoices, Statements of Work, and ensure accurate cost allocation.
- Track budgets vs. actuals and support benefits tracking.
- Log and monitor project decisions.
Project Tracking & Tools
- Track deliverables, milestones, and maintain project plans.
- Drive weekly planning and keep tools like Confluence and Jira updated.
- Manage workflows for critical documents.
Risk & Compliance
- Report on risk assurance and manage RAID logs.
- Ensure timely completion of compliance attestations and governance checklists.
- Support adherence to company policies and safety standards.
Communication & Collaboration
- Facilitate communication across teams and stakeholders.
- Build strong relationships with internal and external partners.
- Act as a central point for updates and coordination.
Project Administration
- Organise meetings, workshops, and logistics.
- Assist with resource scheduling, onboarding, and offboarding.
Additional Responsibilities
- Support delivery activities as directed by Portfolio/Program Managers.
- Help track actions and decisions across the team.
- Contribute to continuous improvement of processes and tools.
- Maintain accurate resource demand forecasts and escalate gaps.
- Collaborate with peers to standardise practices and enhance capability maturity.
Qualifications
- Tertiary education in relevant discipline, or equivalent experience.
Required skills and experience will include:
- Demonstrated administrative background in a fast-paced environment.
- Experience coordinating multiple projects or programs concurrently, with budgets $10M and above required.
- Project coordination experience within the technology sector or Financial Services preferred.
- Investment management, superannuation or regulatory change experience is desirable but not mandatory.
- Superior attention to detail and organisational skills.
- Excellent communication and stakeholder engagement abilities.
- Proficient in the use of MS Office Suite and familiar with project management software platforms like Jira and SharePoint.
- Proactive mindset with well-developed problem-solving skills.
- Ability to work effectively both as part of a team and autonomously.
